Responsibilities
- Administration & Operations
- Oversee the day-to-day administrative operations of the Academy.
- Develop, implement and improve administrative policies, procedures and systems.
- Ensure effective document management, record keeping and administrative controls.
- Monitor administrative processes and identify opportunities for improvement.
- Prepare administrative reports, budgets and operational updates for management.
- Student & Academic Administration
- Provide administrative support to academic and student-related operations.
- Coordinate classroom, training room and facility bookings.
- Support student registration, orientation, events and Academy activities.
- Ensure administrative records relating to students and programmes are properly maintained.
- Work closely with academic and programme teams to ensure smooth programme delivery.
- Events & Academy Activities
- Coordinate administrative arrangements for seminars, workshops, training programmes, meetings and Academy events.
- Arrange venues, equipment, refreshments, logistics and other event requirements.
- Support major Academy activities such as Open Days, student activities and corporate events.
- Team Management
- Lead, supervise and support the administration team.
- Allocate responsibilities and monitor workload and performance.
- Coach and develop administrative staff to improve service standards and productivity.
- Establish clear work processes and ensure timely completion of administrative tasks.
- Management Support
- Provide administrative support to the Academy management team.
- Coordinate meetings, prepare minutes, reports and presentations where required.
- Follow up on management decisions and ensure assigned administrative actions are completed.
- Undertake other duties and projects assigned by Management.
Requirements
- Bachelor's Degree in Business Administration, Management, Education Management, Operations Management or a related field.
- Minimum 5 years of relevant administrative/operations experience, preferably with at least 2 years in a supervisory or managerial role.
- Experience in an education, training, academy, TVET or similar environment will be an advantage.
- Strong knowledge of office administration, facilities management, procurement and vendor management.
- Good leadership, organisational and problem-solving skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple priorities and work independently.
- Proficient in Microsoft Office applications, particularly Word, Excel and PowerPoint.
- Strong attention to detail and ability to maintain accurate records.
- Good command of English and Bahasa Malaysia.
