Administration & Coordination
- Accurately manage the sales pipeline and all client information in the sales system (e.g., Envision, TableCheck).
- Prepare and distribute detailed Banquet Event Orders (BEOs) and function sheets to operational departments (kitchen, service, billing) on timely manners.
- Collaborate closely with the culinary and F&B teams to ensure client expectations are feasible and clearly communicated.
- Participate in weekly sales meetings, forecasting, and strategy sessions.
- Assist in ensuring billing accuracy by supporting bill reviews with clients prior to final processing.
- Act as a point of contact between the sales team, operations team, and clients throughout the event process (pre-event, event, post-event).
Guest Engagement & Service
- Contribute to a positive service culture that encourages unique guest experiences and teamwork.
- Build and maintain a strong portfolio of corporate accounts, event planners and local business partners.
- Provide exceptional client service from initial inquiry through the event execution, acting as the primary liaison until handover to the operations team.
- Conduct regular follow-ups with past and potential clients to foster loyalty and repeat business.
Sales & Revenue Generation
- Actively prospect, identify, and secure new business for privatised events and group dining in 3 outlets.
- Achieve and exceed individual and departmental sales goals and revenue targets.
- Prepare and present compelling proposals, contracts, and event menus to potential clients.
- Conduct persuasive site inspections and tastings to showcase our facilities and culinary expertise.
- Negotiate terms and close sales, ensuring profitability and client satisfaction.
- Support the execution of approved marketing and communication plans for F&B promotions and events.
- Ensure F&B marketing materials and collateral meet brand standards and are approved prior to use.
Operational
- Work closely with other departments to support internal and external communication needs related to F&B sales and events.
- Assist in maintaining updated press kits and promotional materials.
- Support the coordination of press visits, familiarization trips, and hosted events when required.
- Stay informed of community and business developments that may impact hotel operations.
- Support the planning and execution of sales-related events and collaborations as assigned.
- Remain flexible and perform other reasonable duties as required to support business operations and guest satisfaction.
Other Duties
- Monitor local market trends, competitor activity, and pricing strategies.
- Represent the company at networking events and community functions to promote F&B services.
- Support cost-awareness initiatives and ensure efficient use of resources within assigned responsibilities.
- Follow all hotel and company policies relating to financial procedures, record-keeping, and reporting.
- Understands and strictly adheres to Rules and Regulations established in the Associate Guide and the hotel's policies concerning fire, hygiene, health and safety.
- Ensures high standards of personal presentation and grooming.
- Always exercises responsible behaviour and positively representing the hotel and Hyatt International.
- Attends learning sessions and meetings as and when required.
- Carries out any other reasonable duties and responsibilities as assigned.
