Role SummaryAs the Project Manager you're the delivery engine of Radical Marketing.
This role coordinates the moving parts across Media Buyers, Creative Designers, Copywriters, Video Editors, and Funnel Managers to ensure every project, campaign, and deliverable ships on time, at the quality bar our clients expect.
Commonly we will deliver ad campaigns, webpages, emails and SMS (funnels), AI voice solutions and Webinar presentations to clients.
The Project Manager reports directly to the CEO and works closely with the Operations Manager (on team capacity/systems) and the Client Success Manager (on client-facing timelines and expectations).
This role is in charge of internal execution and delivery coordination, not people/HR operations (owned by the Operations Manager) or the primary client relationship (owned by the Client Success Manager).
However you will work closely with these 2 people to ensure strong coordination across the team.
Key Responsibilities
1. Project & Campaign Execution- Own the end-to-end internal execution timeline for each client project — from kickoff through launch and optimization phases.
- Break down deliverables (funnels, ad campaigns, creative assets, copy, video) into clear tasks, owners, and deadlines in our project management software (Clickup).
- Track progress daily/weekly and proactively unblock delays before they impact deadlines.
- Ensure all deliverables meet the agency's quality bar before they go to the client or Client Success Manager for review.
2. Cross-Team Coordination- Serve as the central point of coordination between the team Media Buyers, Copywriters, Creative Designers, Video Editors, Funnel Builders and external freelancers on any given project.
- Run internal check-ins (daily standups, weekly project reviews) to surface blockers, dependencies, and status.
- Resequence priorities when timelines shift, in coordination with the Operations Manager on team capacity.
3. Timeline & Deliverable Ownership- Maintain a master view of all active projects, deadlines, and deliverable statuses across the agency.
- Flag at-risk timelines early — to the internal team first, and to the Client Success Manager if it will affect client-facing commitments.
- Ensure milestone updates (e.g., campaign live, budget exhausted) are accurate and passed to the Client Success Manager promptly for client communication.
4. Quality Control- Review deliverables against brief, brand guidelines, and client goals before handoff.
- Catch inconsistencies, missed requirements, or gaps in execution before they reach the client.
- Maintain a feedback loop with team members to raise the bar on recurring quality issues.
5. Internal Reporting- Provide the Founder, Operations and Client Success Manager with clear, concise project status reports.
- Maintain visibility into which projects are on track, at risk, or delayed, and why.
- Support performance/scorecard data collection for projects (handed to Ops for formal tracking).
- Review client results and work with relevant team members to improve output.
6. Process Improvement (Project-Level)- Identify recurring friction points in project execution and propose workflow improvements.
- Document and refine project-specific templates, checklists, and handoff processes (in coordination with Ops on agency-wide systemisation).
- Work with AI to build more efficient workflows and systems.
Key Performance Indicators (KPIs)- % of projects/deliverables completed on time
- Measurable client results and return on their marketing investment
- Quality control catch rate (issues caught internally before client-facing handoff)
- Average time-to-unblock for flagged project delays
- Cross-team coordination effectiveness (fewer missed handoffs/dependencies)
- Timeliness and accuracy of status reports to CEO/Client Success Manager
Qualifications & RequirementsRequired:
- Proven experience as a Project Manager, Producer, or Traffic/Ops Coordinator — agency or similar service-based business environment preferred.
- Strong command of project management tools (ClickUp or similar); comfortable building task structures, timelines, and dependencies.
- Ability to manage multiple concurrent projects and shifting priorities without dropping details.
- Clear, direct communicator who can coordinate creatives, media buyers, and writers without needing to be a specialist in each craft.
- Ability to motivate and manage team resources to ensure we produce output for clients in a timely manner.
Preferred:
- Experience in digital marketing, funnel building, or performance marketing project delivery.
- Familiarity with marketing deliverable types (ad creatives, landing pages, copy, video) well enough to judge is this done and good without owning production.
- Able to communicate, write and read Mandarin

Working Conditions- Hours: 8 hours/day, flexible start (must arrive by 9:30 AM latest)

- Reporting Line: Reports to CEO; collaborates closely with Operations Manager and Client Success Manager.
