Role Description
This is a full-time, on-site role based in Penang, Malaysia for an EHS Officer cum Document Controller. The role is responsible for implementing and monitoring Environment Health and Safety (EHS) policies, procedures, and standards to ensure a safe and compliant workplace.
Daily tasks include conducting safety inspections, supporting risk assessments, promoting occupational health initiatives, and coordinating workplace safety trainings. The role also requires managing and organizing EHS-related documentation, maintaining accurate records, updating safety manuals and registers, and ensuring proper document control practices for audits and regulatory compliance.
The EHS Officer cum Document Controller will collaborate with operations, HR, and management to drive safety awareness and continuous improvement in EHS performance.
Key Responsibilities
- Develop, implement, and maintain EHS policies, procedures, and ISO-compliant management systems.
- Ensure compliance with Malaysian legal requirements, customer standards, and company EHS policies.
- Manage and control all EHS and ISO documentation, including policies, procedures, work instructions, forms, records, and document revisions.
- Maintain the Document Control System to ensure all controlled documents are current, properly approved, distributed, and archived.
- Coordinate document reviews, revisions, approvals, and distribution in accordance with ISO 9001, ISO 14001, and ISO 45001 requirements.
- Support internal, external, customer, and certification audits by preparing, maintaining, and coordinating all required documentation.
- Conduct workplace EHS inspections, audits, hazard identification, and risk assessments to ensure regulatory compliance.
- Review and approve the safety aspects of equipment, machinery, facilities, process changes, and layout modifications.
- Coordinate Emergency Response Team (ERT) activities, including training, emergency drills, evacuation exercises, and preparedness programs.
- Monitor contractor safety compliance, including contractor induction, permit-to-work administration, and site safety requirements.
- Promote a positive safety culture through safety campaigns, toolbox meetings, awareness programs, and employee engagement initiatives.
- Collaborate with competent persons and cross-functional teams to monitor EHS performance, implement corrective and preventive actions, and ensure timely regulatory submissions.
- Identify and implement continuous improvement initiatives for workplace safety, environmental performance, and document management systems.
- Perform any other duties assigned by Management.
Qualifications
- Strong foundation in Health & Safety and Workplace Safety, with the ability to apply best practices in an industrial or commercial setting.
- Knowledge of Environment Health and Safety (EHS) and Occupational Health, including relevant regulations, standards, and risk management principles.
- Professional EHS certification
- Experience in document control or records management, preferably related to safety, compliance, or quality systems.
- Ability to prepare clear reports, maintain structured filing systems (physical and electronic), and support audit requirements.
- Strong attention to detail, organizational skills, and the ability to manage multiple tasks and deadlines.
- Effective communication and interpersonal skills, with the ability to conduct briefings, trainings, and collaborate with cross-functional teams.
- Prior experience in EHS roles or similar functions within manufacturing, construction, or related industries is an advantage.
- Relevant diploma or degree in occupational safety, environmental science, engineering, or a related field is preferred.
- Registered Safety & Health Officer (SHO) with a valid DOSH (JKKP) Green Book.
- Experience in ISO documentation and document control processes.
