Facilities Coordinator

Position Summary:The Facilities Coordinator manages day-to-day facility operations, coordinates maintenance activities, and serves as the primary liaison between building occupants, service providers, and facility management to ensure smooth building operations.

Key Responsibilities:

The Facilities Coordinator oversees the coordination of all facility-related services including maintenance requests, vendor management, space planning, and building services. This role ensures that facility operations align with business objectives while maintaining high standards of service delivery and occupant satisfaction.

Core responsibilities include managing the work order system, prioritizing maintenance requests, and coordinating with technical teams to ensure timely resolution of facility issues. The Coordinator schedules preventive maintenance activities, manages vendor contracts and service agreements, and monitors service delivery to ensure compliance with service level agreements.

The position involves coordinating facility projects from planning through execution, including office moves, renovations, and infrastructure upgrades. The Coordinator maintains facility documentation including floor plans, equipment inventories, and maintenance records, while also managing facility budgets, tracking expenses, and identifying cost-saving opportunities.

Additional duties include conducting regular facility inspections to identify maintenance needs and safety concerns, coordinating emergency response procedures, liaising with building occupants to address concerns and gather feedback, and supporting sustainability initiatives through resource management and waste reduction programs.

Required Qualifications:

  • Bachelor's degree in facility management, business administration, or related field, or equivalent experience
  • Minimum 3-5 years of facilities coordination or building operations experience
  • Strong organizational and project management capabilities
  • Excellent communication and interpersonal skills
  • Proficiency with facility management software and Microsoft Office suite

Preferred Skills:

  • Facility management certification (CFM, FMP, or equivalent)
  • Knowledge of building systems and maintenance practices
  • Budget management and vendor negotiation experience
  • Problem-solving ability with customer service orientation
  • Understanding of health, safety, and environmental regulations
