Job Description

Job Summary

The HR Specialist is responsible for delivering efficient and accurate HR operational support across the employee lifecycle while ensuring compliance with company policies and applicable employment regulations. The incumbent will collaborate closely with business units, regional HR teams, and cross-functional stakeholders to enhance HR processes, improve employee experience, and support continuous system improvements.

Key Responsibilities

1. Employee Lifecycle Management

  • Manage the end-to-end onboarding process to ensure a smooth and positive employee experience.
  • Coordinate employee offboarding activities, including documentation, system updates, exit procedures, and final clearance.
  • Process internal employee transfers, promotions, and organizational changes while ensuring timely updates in HR systems.
  • Ensure all employee lifecycle activities are completed accurately and within established service level agreements (SLAs).

2. HR Information System (HRIS) & Employee Data Management

  • Maintain accurate, complete, and up-to-date employee records in the HR Information System (HRIS).
  • Ensure data accuracy, integrity, and confidentiality in compliance with company policies and applicable data privacy regulations.
  • Perform regular data audits and resolve discrepancies promptly.
  • Support HRIS enhancements, testing, and system improvement initiatives.

3. HR Reporting & Recruitment Administration

  • Monitor recruitment progress and maintain accurate hiring status reports.
  • Prepare weekly and monthly HR operational reports for management.
  • Generate HR reports and analyses based on requests from business units and regional stakeholders.
  • Act as the liaison between business divisions, regional HR teams, and recruitment stakeholders to ensure timely communication on hiring progress.

4. Employee Support & HR Advisory

  • Serve as the primary point of contact for employee inquiries related to HR policies, procedures, benefits, and HR programs.
  • Provide timely, accurate, and professional HR guidance to employees and managers.
  • Escalate complex HR matters to the appropriate HR Business Partner or HR Manager when necessary.

5. Process Improvement & Continuous Enhancement

  • Identify opportunities to improve HR operational processes, workflows, and employee experience.
  • Recommend and implement best practices to improve efficiency, accuracy, and service delivery.
  • Collaborate with HR, IT, and other stakeholders to enhance HR systems and automate HR processes where applicable.
  • Support HR projects, system implementations, and continuous improvement initiatives.

6. Compliance

  • Ensure HR operations comply with company policies, employment legislation, and internal governance requirements.
  • Maintain confidentiality of employee information and HR documentation at all times.
  • Support internal and external HR audits by providing accurate documentation and reports.

Requirements / Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field.
  • Minimum 3 years of progressive experience in HR Operations or HR Shared Services.
  • Hands-on experience managing end-to-end employee lifecycle processes (onboarding, offboarding, transfers).
  • Strong experience working with HR Information Systems (HRIS)and employee data management.
  • Experience in recruitment status tracking and reporting, including stakeholder communication.
  • Solid understanding of HR policies, labor regulations, and data privacy requirements.
  • Experience supporting regional or multi-country HR operations is an advantage.
  • Ability to work in a fast-paced, service-oriented, and deadline-driven environment.
