The Lead – Integrated Material Supply & Logistics reports directly to the Section Manager – Procurement and plays a pivotal role in procurement and supply chain management. This position is responsible for coordinating and optimizing the flow of goods, materials, inventory control and logistics operations to ensure efficient and cost-effective processes. The role also provides guidance, support and supervision to the team and collaborates with cross-functional departments to ensure the smooth flow of goods and materials.

The Lead – Integrated Material Supply & Logistics is responsible for coordinating and optimizing the flow of goods, materials, inventory control and logistics operations.
Responsibilities
- Logistics, Consumable and Chemical Store Management
- Inventory Tracking and Management: Monitor and control inventory levels and material availability to support operational requirements. Implement inventory control measures to minimize stock discrepancies, overstocking and obsolescence.
- Inventory Analysis and Reporting: Generate and analyze inventory reports and Key Performance Indicators (KPIs) including inventory turnover, carrying costs and stock out rates. Provide insights and recommendations to the Section Manager – Procurement to support operational and strategic decision making.
- Inventory Auditing and Compliance: Conduct regular audits to verify the accuracy of inventory records and ensure compliance with regulatory requirements and internal policies.
- Quality Control: Ensure incoming materials and inventory meet established quality standards.
- Space Management: Optimize warehouse or storage space utilization through effective organization and labeling systems.
- Process Improvements: Identify and implement process improvements to enhance inventory management efficiency and reduce costs.
- Supplier Relations: Collaborate with suppliers to negotiate favorable commercial terms, pricing and delivery schedules. Resolve supply related issues and maintain effective supplier relationships to support business requirements.
- Shipment Coordination: Coordinate and monitor inbound and outbound shipments including scheduling, carrier selection and routes optimization for transportation via land, sea and air and courier services.
- Forwarder Relations: Communicate with forwarders regarding shipment status, delivery schedules and any issues that may arise. Evaluate forwarder performance and report any concerns to the appropriate parties.
- Customs, SST & Duty Exemption Management: Ensure compliance with Malaysian Customs regulations, SST requirements, and import/export laws. Manage duty exemption applications and approvals. Verify accuracy of HS code classification, customs declarations, and SST treatment. Responsible for submission of the SST application to ensure all items needed are always up to-date and being approved under the SST exemption list. Prepare and verify CJP forms and validate invoices related to inbound and outbound shipments including courier services. Identify opportunities for cost optimisation through duty and tax efficiencies.
- Data Analysis: Analyze logistics data and performance trends to support operational decision making and recommendations for process improvements.
- Problem Resolution: Address and resolve logistics related issues including shipping delays, customs clearance matters, shipping documentation discrepancies and transportation challenges. Collaborate with cross-functional teams to implement effective solutions.
- Documentation and Recordkeeping: Maintain organized and up-to-date records of shipments, receipts, and inventory levels.
- Compliance and Audit Management: Ensure compliance with safety regulations, customs requirements, and trade restrictions. Stay updated on logistics and trade regulations. Lead and coordinate internal as well as external audits by regulatory authorities and certification bodies including audit preparation, documentation review, audit facilitation, and timely closure of findings. Comply and support Environmental Health & Safety policies, rules, and regulations.
- Purchasing Management:
- Supplier Management: Identify, evaluate and select suppliers based on quality, cost, reliability and other criteria in accordance with procurement policy. Develop and maintain strong relationships with strategic suppliers and negotiate favorable terms and conditions with suppliers.
- Procurement Strategy: Collaborate with the Section Manager – Procurement to develop and implement procurement strategies aligned with the organization's goals and objectives. Develop sourcing strategies to optimize costs, improve supply continuity and minimize supply chain risks.
- Purchase Planning: Analyze procurement requirements from assigned departments and create comprehensive purchase plans to ensure timely availability of materials and services. Determine optimal procurement methods, such as single-sourcing or dual-sourcing, based on supply chain risk assessments.
- Purchase Orders and Contracts: Prepare and manage purchase orders, ensuring accuracy in terms, quantities, and pricing. Oversee the negotiation, creation and management of contracts with suppliers.
- Cost Control: Monitor and control procurement costs by analyzing pricing trends, conducting cost-benefit analysis and seeking cost-effective alternatives. Implement cost-saving measures while maintaining or improving product quality.
- Quality Assurance: Collaborate with quality control teams to ensure purchased items meet specified quality standards. Address quality issues with suppliers and implement corrective actions.
- Compliance and Documentation: Ensure compliance with procurement policies, procedures and relevant regulations. Maintain accurate and complete records of procurement transactions, contracts and supplier agreements.
- Market Research and Analysis: Monitor and stay updated on market trends, new products and emerging technologies in relevant industries. Provide insights and recommendations to support procurement planning and decision making.
Qualifications
- Minimum Degree in Supply Chain Management, Business Administration, Engineering or in any discipline
- Minimum 5 years of working experience in inventory management, logistics or supply chain management or 8 years of working experience for Diploma holder
- Experience in leading or supervising a team is an added advantage
- Knowledge of international trade regulations and customs procedures is advantageous
- Excellent communication, interpersonal and written English
- Proficient computer skills especially with Microsoft Office i.e. Word, Excel, PowerPoint, etc
