Corporate Secretarial & Statutory Compliance
- Ensure compliance with the Companies Act 2016, SSM regulations, and corporate governance requirements.
- Manage and maintain statutory registers, corporate records, and compliance documentation.
- Prepare and lodge statutory filings, forms, returns, and other regulatory submissions accurately and within prescribed timelines.
- Draft board resolutions, minutes of meetings, annual returns, and other corporate secretarial documents.
- Monitor compliance deadlines and ensure timely completion of all statutory obligations.
- Assist in company incorporations, changes in corporate structure, and other corporate exercises.
Legal & Administrative Support
- Provide day-to-day secretarial and administrative support to legal professionals and management.
- Manage calendars, meeting schedules, appointments, and travel arrangements.
- Assist with client onboarding processes, including conflict checks and document preparation.
- Maintain and organise matter files, legal documentation, and correspondence in accordance with internal procedures.
- Prepare, format, and review legal and corporate documents to ensure accuracy and completeness.
- Support billing, invoicing, and administrative reporting requirements.
- Liaise with clients, regulatory authorities, auditors, government agencies, and other stakeholders as required.
Stakeholder & Client Management
- Build and maintain professional relationships with clients, regulators, auditors, and internal stakeholders.
- Respond to enquiries and provide administrative support in a professional and timely manner.
- Coordinate with external service providers and relevant authorities on corporate secretarial and legal matters.
Requirements
- be registered with MAISCA and with CCM
- have at least 3 years experience in a similar position (experience as co sec for public listed companies is an advantage)
- be conversant in English / BM (sound command of Mandarin is an advantage)
- able to work independently and under pressure
- be willing to work off site, if necessary.
