Job Description

The opportunity

You will lead a team, plan and execute the agency events, local and overseas trips, conventions, on-ground activities and strategise all events-triggered initiatives/ contests for agency force


Responsibilities

Event Management

  • Conceptualization, planning and execution of agency events, overseas conventions, trips and on ground activities
  • Main liaison with regional offices and external organizations on all on-ground initiatives and events, locally and globally
  • Prepare necessary documents to obtain quotations, internal reviews and tender approvals for vendors, including travel agencies and event organizers
  • Conceptualize event-triggered campaign design, prepare necessary proposals, ROI projection, budget planning and tracking
  • Conceptualize and prepare event materials and invitations, ensuring all events are effectively promoted to agency force.
  • Keep track of event budget and payments
  • Measures and track performances of all agency events - identify key success metrics, attendance, and prepare post-mortem reports.
  • Coordinates the overall event program flow and management of event committee, event organisers, artistes and venue owners
  • Responsible for events budget management, approval papers and reporting, ensuring prudent financial management and expense control.

Promotions & Procurement

  • Lead events tender processes and procurement of premium items
  • Oversees the event & promotion budget, approvals, documentations and payouts
  • Work with cross-functional agency and marketing teams, in driving sales, recruitment, marketing and customer events
  • Develops event calendar and communication plans to promote the event-triggered contest effectively and regularly, as per schedule

What we are looking for

  • Possess Degree in Business, Marketing, Mass Communication, Events Management or equivalent professional.
  • At least 6-10 years of relevant experience in managing events, trips and overseas conventions, roadshows and launches
  • Must have hands-on experience in event project management, organizing overseas trips / conferences and event logistics and tender processes.
  • Ability to work effectively and independently within a dynamic working environment
  • Must have experience managing a team
  • Good communication and interpersonal skills.
  • Have creative and innovative mindset, digitally savvy.
  • Excellent negotiating skills
  • Results-driven with strong project management and problem-solving skills.
  • A team player who enjoys meeting people
