Penang Heritage Reimagined
Soori Penang is a new ultra-luxury heritage hotel in the heart of George Town.
We are seeking a highly organised and proactive Reservations & Administration Coordinator to join our team. This is a Monday to Friday, office-hours position, combining reservations management with day-to-day administrative support.
We are looking for someone who takes ownership of their responsibilities, works independently, follows through on tasks and is resourceful in finding practical solutions when challenges arise.
Key Responsibilities
Reservations
- Manage reservation enquiries across booking platforms and communication channels.
- Process new bookings, amendments and cancellations accurately and promptly.
- Maintain accurate reservations, guest profiles, preferences and special requests in the Property Management System (PMS).
- Provide guests with accurate information on rooms, rates, packages, promotions and hotel facilities.
- Monitor room inventory and availability while supporting occupancy and revenue opportunities.
- Prepare daily and periodic reservation reports as required.
Administration
- Provide day-to-day administrative support to the hotel operations and management team.
- Maintain organised physical and electronic filing systems, records and documentation.
- Prepare letters, reports, meeting minutes and internal correspondence.
- Assist with invoices, administrative purchases, office supplies and coordination with Finance and Human Resources.
- Compile operational information and departmental reports as required.
- Coordinate meetings, document distribution, courier services and other general administrative matters.
- Ensure data and records are maintained accurately and confidentially.
Requirements
- Minimum 2 years relevant experience in reservations, front office, guest services or administration, preferably within hospitality.
- Strong written and spoken English; additional languages are an advantage.
- Highly organized with strong attention to detail and the ability to manage multiple priorities.
- Able to work independently with minimal supervision and take ownership of responsibilities.
- Resourceful and solutions-oriented, with the ability to identify issues and find practical solutions.
- Proactive, dependable and consistent in following through on tasks.
- Strong communication and interpersonal skills with a professional and service-oriented approach.
- Proficient in Microsoft Office.
- Working knowledge of SiteMinder and Opera PMS, including a basic understanding of how SiteMinder connects and interfaces with Opera.
- Able to remain calm, adaptable and effective in a fast-paced hotel environment.
- Diploma or Degree in Hospitality Management, Business Administration or a related field is preferred.
