Job Description

We are looking for a proactive, detail-oriented, and highly organized Sales Operations Specialist to support our global sales organization for the new project. This role plays a critical part in ensuring smooth daily operations, effective cross-department collaboration, and strong execution of sales strategies. You will work closely with the global CEO, Sales Directors, global sales team, and internal backend teams to enhance operational efficiency and drive business growth.

Key Responsibilities

  1. Provide day-to-day operational support to the global sales team, ensuring timely resolution of inquiries and operational issues.
  2. Facilitate effective cross-department coordination and follow-up to ensure smooth operation of sales processes.
  3. Identify operational gaps, inefficiencies, and risks in existing sales processes; propose and implement actionable improvements.
  4. Support system enhancements, CRM optimization initiatives, and workflow automation projects to improve sales efficiency.
  5. Assist the CEO in preparing annual and quarterly sales budgets and planning documents.
  6. Track budget utilization, monitor performance trends, forecast resource needs, and report deviations to senior management.
  7. Support the CEO in drafting, optimizing, and implementing sales-related SOPs and operational workflows.
  8. Coordinate sales recruitment processes with HR, including scheduling and documentation.
  9. Assist with onboarding and training arrangements for new sales team members to ensure strong integration and performance readiness.
  10. Prepare weekly, monthly, and quarterly sales performance reports for management review.
  11. Review performance results with the CEO and provide meaningful insights, analysis, and improvement recommendations.
  12. Organize recurring meetings between the CEO, Sales Directors, and regional sales teams, including agenda preparation and follow-ups.
  13. Prepare monthly sales commission reports and commission payout summaries.
  14. Collaborate with Finance and HR to ensure accurate and timely commission payments.

Qualifications & Requirements

  1. Bachelor's degree in Business Administration, Sales, Operations Management, or a related field.
  2. 1-3 years of experience in sales operations, business operations, or relevant -administrative support roles.
  3. Strong English proficiency in both written and spoken communication; Chinese language ability is an advantage.
  4. Strong communication, coordination, and interpersonal skills, with the ability to work effectively with global teams.
  5. High attention to detail, strong sense of responsibility, and excellent organizational skills.
  6. Proficiency in Excel and strong analytical/reporting capabilities.
  7. Ability to manage confidential information with professionalism and discretion.
  8. Fluency in English in oral, writing. Chinese languages is a plus.
