Job Summary
Provide secretarial and administrative functions to Head of NADI Division and ensure the smooth running of its office administration, good document management and records and compliance with internal policies.
Job Responsibilities:
- Administer and responsible in managing and supporting the Head of NADI Division's administration and operations.
- As Liaison Officer and Coordinator to provide support to the Head of NADI Division in scheduling and organizing meetings, appointments, movements and matters relating to synchronizing calendar inclusive in scheduling, managing calendars and appointments for both internal and external stakeholders Maintain a comprehensive filing system for all correspondence, both physical and electronic, to ensure records are properly organised, securely managed and readily retrievable when required.
- Distribute all incoming and outgoing correspondence to the related officer. Ensuring all correspondence are recorded, distributed, responded and filed.

- Support the on-going operations of the office i.e. as middle person of interaction and liaison officer between Head & Head Departments and officers in NADI office as well as other officers in other Sectors in MCMC.
- Monitor expenditure based on the approved annual budget for effective utilization by the Head of NADI Office.
- Monitor and manage office supplies to maintain adequate stock levels and support uninterrupted operations.
- Manage and undertake any ad-hoc tasks and assignments and assist with other scopes that may be required within the division.
- Manage assignments or tasks for the Head of NADI Division and any other tasks as instructed.
Qualification & Work Experience
- Candidate must possess at least a Diploma in Office Management, Business Administration or any related qualifications from a reputable university, or relevant discipline from a recognized institution with a minimum of CGPA 3.00
- At least 2 years of working experience in office management and administration functions.
- Proven experience in administrative duties with good document organisation skills.
- Exposure and experience in managing multiple stakeholders.
- Knowledge of regulatory requirements and compliance related to public sector service delivery.
- Experience in coordinating and engaging with communities at large is an added advantage.
Technical Competencies/Skills
- Good understanding of government, communications industry and community needs
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and document management systems
- Good at handling administrative duties
