Job Description

Position Objective:

This role will assist in planning, coordinating, and managing projects to ensure timely and efficient completion. This role involves conducting research, preparing reports, and providing administrative support with advanced Excel skills.

Some tasks will be expected to be managed independently to ensure projects/tasks are completed on time.

Roles and Responsibilities:

Assist and support Infrastructure team on:

1.Projects related:

  • Communication with team, PM, and stakeholders regarding project needs and goals
  • Contributing to the planning and development of projects
  • Supporting the coordination and management of projects
  • Performing administrative tasks such as schedule meetings
  • Track and report on project progress

2.Research and analytics:

  • Research relevant information for project development and execution
  • Analyze project data to identify opportunities and risks

3.Reporting and documentation:

  • Prepare presentations and reports using tools like advanced Excel and Power BI to assist the team in decision-making
  • Required to know how to use excel with formulas, pivot table, cross reference with multiple data sources
  • Maintain accurate documentation for ongoing projects

Assist and support on team arrangements in AIA IT MY:

  1. Team's administrative tasks
  2. Coordinate with different stakeholders to plan for team's activities

Communication Requirements:

Internal (80%)

Support communication with project teams, PM, infrastructure team in the project

External (20%)

Support communication with service providers

Support requests from related stake holders

Periodically meeting with key project owners to get feedback on deliveries

Most challenging type of communication Collaborate/ co-work with different service providers to ensure task is delivered on time

Minimum Job Requirements:

  • Bachelor's Degree in management - business management, business admin or IT related field
  • Minimum of 2 years of experience in project management or administrative assistance
  • Experience with project management software
  • Strong written and oral communication skills
  • Ability to plan and organize
  • Ability to work well in a team environment
  • Ability to work effectively under pressure
  • Strong analytical and problem-solving skills
  • Excellent multitasking skills, being able to manage multiple projects at the same time
