Transshipment and Logistics Executive

Job Description

Role Purpose (Why do we need this role)

Undertake the operational activities and logistics requirements in the management of our containers in Malaysia and meet the service expectations of our customers, HQ LOG, internal stakeholders and vendors, and/or promoting Port Klang as a transshipment hub by ensuring that transshipment cargoes are duly connected across vessels calling at the Port Klang Terminals.

Role Accountabilities (What is this role responsible for delivering)

Transshipment

  • Manage the transshipment plans with relevant teams to ensure nominated cargos are connected.
  • Monitor feeder arrivals against mother vessels for connectivity and compliance with Trade guidelines, therefore ensuring safe windows for transshipment.
  • Secure cargo releases and execute transshipment plans, taking corrective actions for tight connections or roll-over situations
  • Verify transshipment plan with Trades in roll-over situations.
  • Execute transshipment declarations and nominations with feeders.
  • Reconcile cargo against transshipment plans for completeness and accuracy; therefore providing timely transshipment results.
  • Verify invoices from feeder operators or other related vendors.
  • Escalate issues to Transhipment Manager and/or Trades for resolution.
  • Address day to day enquiries from Trades, agents or vendors.
  • Coordinate with respective teams to secure feeder space when required to execute transshipment plan; maintain awareness of prevailing market rates and plan usage per guidelines in consultation with Transshipment Manager and the Global Feeder Procurement.
  • Prepare feeder B/L drafts and arrange feeder freight payment when necessary.

Logistics

  • Monitor Malaysia container stock and movements in our contracted depots; arrange repositions of empty containers per HQ Log's instructions
  • Ensure containers are utilized on FIFO basis
  • Coordinate trucking with depots for import/export of empties including Booking creation, Work Orders (WO) and Transportation for Dispatch Notice (TDN), service BL creation and manifest closure
  • Arrange off-hires per disposal instructions; coordinate on-hire formalities when stock is in deficit with HQ Logs
  • Liaise with load port/planners on discrepancies in container number, duplicate number, incorrect size/type, etc
  • Update container movements accurately in the system within 48 hours of activity date/time
  • Arrange container surveys (on/off hires, sublease, redelivery, damaged units, etc) and assist HQ Log on ancillary matters (container seals, reefer spares, container sales, lowbed trucking, flatracks bundling)
  • Share load summaries/details with Transhipment, Finance and HQ Logistics
  • Liaise with 3rd party on claims and pursue M&R recoveries where appropriate.
  • Advise local booking team on depot allocation for empty containers, especially Special Equipment i.e Reefers, Opentops, Flatracks, basis FIFO and stock availability
  • Liaise with local booking team closely to ensure bookings are correctly forecasted.
  • Prepare weekly stock forecast and monthly report (trucking, repositions, direct off-hire, feeder rates savings reports) to HQ Logs
  • Verify vendor's invoices and logistics costs in Mediusflow/CVP systems and raise Purchase Orders in SAP system.
  • Perform other ad-hoc duties as assigned by the manager

Key Qualifications & Skills (What knowledge will ensure success in the role)

Qualifications

  • Preferably a Diploma holder / GCE A level.
  • Some shipping or forwarding background will be advantageous.

Candidates should possess the following qualities:

  • Hard working and eager to acquire knowledge and skills in the maritime industry.
  • Attentive to details and able to work independently with minimum supervision.
  • Dynamic and systematic in approach and task executions.
  • Strong Inter-personal skills and a team player.
  • Good verbal and written communication skills.
  • Ability in communicating / monitoring works done by back-office support team in meeting timeline and overall work objective.

Technical Skills / Professional Skills

  • PC literate and proficient in MS Excel/Words/Outlook
  • Must be organized with a keen eye for detail and accuracy.
  • Able to work independently with minimal supervision.
