Overview

The WHSE Admin will provide comprehensive administrative and documentation support to the Health, Safety & Environment team for a large-scale data centre project in Sungai Buloh. This role is responsible for managing HSE records, coordinating safety-related activities, and assisting with compliance requirements on site. The ideal candidate is organised, detail-oriented, and able to support a fast-paced project environment while ensuring all HSE procedures are followed effectively.

Job Responsibilities

Maintain and update all HSE documentation, including inspection reports, incident records, safety permits, and regulatory compliance files.
Prepare, organize, and ensure accuracy of paperwork required under Malaysian safety regulations such as the Occupational Safety and Health Act 1994 (OSHA).
Provide day-to-day administrative and clerical support to the HSE department, including managing filing systems and documentation flow.
Coordinate logistics for HSE-related activities such as scheduling safety training sessions and managing PPE inventory.
Assist in monitoring workplace activities to ensure compliance with company safety procedures and standards.
Support regular site inspections and audits, especially for hazards common in data centre environments such as electrical, mechanical, and fire-related risks.
Maintain incident and near-miss records, track follow-up actions, and ensure corrective measures are completed.
Assist in organizing safety induction programmes for employees and contractors accessing the site.
Help communicate safety alerts, audit findings, and relevant updates to the workforce and management team.

Requirements

Diploma or relevant tertiary qualification in Administration, Occupational Safety & Health, or a related field.
Up to 2 years of experience in administrative or HSE support roles, preferably within construction or technical project environments.
Good understanding of basic HSE principles and documentation processes.
Familiarity with ISO standards (ISO 9001, ISO 14001, ISO 45001) is an added advantage.

Skills

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Good organisation and documentation skills with high attention to detail.
Ability to follow established procedures and maintain confidentiality.
Good communication skills and ability to interact with employees, contractors, and management.
