Job Description

Role Objective

To assist with the functions of accounts payable, bank transactions, and account receivables for Southeast Asia (Singapore, Malaysia & Thailand) to ensure timely preparation of reporting and other ad hoc duties as required in assisting the Management Accounts.

Responsibilities

Accounts Payable

  • Process all expenses accurately and efficiently, adhering to deadlines accurately producing month end balance sheet reconciliations
  • Ensure expenses are coded accurately and all costs correctly flow to profit and loss and balance sheet accounts
  • Ensure that all expenses comply with Hays policies and escalate issues to Senior Accountant and/or authorizers if required
  • Communicate with employees professionally regarding their expenses and liaise with suppliers if required
  • Load all payments to bank for approval and release
  • Process remittance advice as requested
  • Generate ad-hoc reports as required by Accounting Manager and Senior Management

Bank Transactions

  • Ensure all bank transactions are processed accurately and appropriately
  • Responsible for daily allocation of funds in Dynamics GP
  • Submit bank payment entries and perform regular bank reconciliations
  • Manage regular petty cash count and claims
  • Carry out ad-hoc requests as required by Accounting Manager, and other Senior Management
  • Ensure all transactions are booked in a timely and accurate manner
  • Responsible for cash management, includes monitoring of cash balances, submitting payment entries and performing regular bank reconciliations

Accounts Receivable

  • Assist with the internal and external audit process
  • Preparation of management packs, fee reports, fee by consulting reports
  • Ensure timely and accurate cash allocation

Service Delivery & Critical Processes

  • Ensure adherence to Hays policies, procedures, recruitment methodology and service delivery standards
  • Ensure adherence to all current legislative requirements, including but not limited to, Privacy, Anti-discrimination, Anti-harassment, Equal Employment Opportunity and Immigration as outlined in the Critical Processes and Hays policies
  • Work continuously to uphold and improve the quality of service provided to both internal and external customers
  • Identify and escalate areas for improvement in the service we provide

Qualifications

  • Degree holder of Accounting related profession
  • At least 1 year's experience gained from commercial or service industry settings
  • Good command in English and Mandarin (Cantonese would be an advantage)
  • Ability to work under pressure and meet tight deadlines
  • Ideally have knowledge of Dynamics GP
  • Strong Microsoft Excel skills required
  • Exceptional customer service skills
  • Excellent communication and organizational skills
  • Excellent analytical skills to manage large amounts of data
  • Effectively work as part of a team to deliver objectives
