Job Description

Reports To: Managing Director & President

Location: Kuala Lumpur, Malaysia

Employment Type: Full-Time – Permanent Contract

Role Purpose

The Accounting & Finance Operations Supervisor plays a key role in supporting the Chamber's accounting, financial and administrative activities. This position focuses on strengthening reporting quality, improve financial operational efficiency, enhancing financial visibility, and supporting compliance and governance standards. Working closely with multiple departments, the role contributes to process optimization, cross-functional coordination, and organizational performance improvement while supporting the Chamber's collaborative and international working environment.

Key Duties/Responsibilities:

Financial Reporting & Analysis

  • Prepare and review monthly management reports, financial summaries, and dashboards.
  • Monitor departmental budgets and perform variance analysis.
  • Analyze profitability and financial performance of the Chamber and its various department/activities.
  • Improve cash flow monitoring and reporting accuracy.
  • Support annual budgeting, forecasting, and financial planning processes.
  • Provide analytical insights and recommendations to support management decision-making.

Operational Coordination & Process Improvement

  • Support the Accounting & Finance, administrative and operational workflows improvement process to meet the growth of the Organization.
  • Streamline reporting, documentation, and coordination processes across departments.
  • Identify opportunities for efficiency gains, automation, and digitalization.
  • Support initiatives aimed at improving organizational effectiveness and service delivery.
  • Assist in developing KPI dashboards and operational performance indicators.

Governance & Compliance

  • Maintain accurate financial and operational records.
  • Ensure adherence to internal controls, governance standards, and company policies.
  • Liaise with external stakeholders including auditors, tax agents, payroll providers, consultants, and service partners.
  • Support compliance with Malaysian statutory, payroll, taxation, and employment regulations.

Reporting & Management Support

  • Prepare reports and presentations for the Management, the President, the Treasurer, and the Board.
  • Monitor operational and financial KPIs.
  • Support management with analysis, reporting, and strategic coordination activities.

Liaison & Cross-Functional Collaboration

  • Work closely with the Admin & Finance Manager and operational teams.
  • Coordinate activities between finance, administration, and operations functions.
  • Foster a collaborative, service-oriented, and professional working culture across departments.

Candidate Profile

Qualifications & Experience

  • Malaysian Citizen.
  • Degree in Accounting, Finance, Business Administration, or a related field.
  • 4–6 years of relevant experience in finance, reporting, operations coordination, or business administration.
  • Strong analytical, reporting, and problem-solving skills.
  • Good understanding of Malaysian payroll, taxation, and statutory compliance requirements.
  • Proficiency in Microsoft Excel and reporting tools.
  • Excellent written and spoken English communication skills.

Preferred Experience

  • Experience within an SME, Chamber of Commerce, NGO, professional services firm, or international business environment.
  • Exposure to budgeting, operational reporting, or process improvement initiatives.
  • Experience coordinating with external advisors, consultants, and service providers.
  • French language proficiency is an advantage.
