Job Description

POSITION SUMMARY

We are seeking a detail-oriented and proactive Account cum Admin Executive to support finance and general business operations across our multi-location footprint. This role combines day-to-day bookkeeping and financial reporting with general office management. It is ideally suited for an organized professional who thrives in structured environments and enjoys managing both numerical data and routine operations.

RESPONSIBILITIES

1. Financial Administration & Bookkeeping

  • General Ledger & Entries: Perform routine accounting tasks and day-to-day bookkeeping using standard accounting software, ensuring timely and accurate record-keeping.
  • Documentation & Audit Trail: Prepare, organize, and maintain financial records—including vouchers, receipts, invoices, purchase orders, and delivery documentation—to ensure complete audit readiness.
  • AP / AR Management: Oversee Accounts Receivable and Accounts Payable cycles, track outstanding balances, conduct follow-ups, and coordinate vendor payment schedules.
  • Claims Processing: Review, verify, and process staff expense claims and reimbursements in compliance with internal policies.
  • Reconciliations & Closing: Conduct monthly bank reconciliations, maintain sub-ledgers, flag discrepancies, and assist with month-end and year-end closing procedures (including accruals and depreciation).
  • Inventory Monitoring: Assist in periodic inventory tracking, audit reconciliations, and reporting across multi-site operating units and central storage facilities.

2. Operational & Administrative Support

  • Compliance & Records: Monitor corporate licenses, permits, and commercial insurance policies, ensuring timely renewals prior to expiration dates.
  • Procurement & Vendor Coordination: Handle routine purchasing for office and operational supplies, manage vendor quotes, track order fulfillment, and maintain inventory stock levels.
  • Asset Tracking: Maintain accurate registers and tracking logs for operational items issued to field and facility personnel.
  • Facilities & Correspondence: Oversee incoming/outgoing mail, logistics coordination, and liaise with building management or service providers regarding facility maintenance and utility management.
  • Document Management: Maintain a secure, centralized electronic and hard-copy filing system (e.g., cloud storage platforms) for rapid retrieval of key records.

REQUIREMENTS

  • Education: Diploma or SPM in Finance, Accounting, Business Administration, or a related discipline.
  • Experience: Minimum of 2 years of relevant experience handling dual accounting and administrative functions. Experience in multi-outlet environments is an advantage.
  • Language: Candidate must be able to speak fluently in English & Mandarin (role needs to liaise with Mandarin speaking suppliers)
  • Accounting Software: Hands-on experience with standard SME accounting packages (e.g., SQL Accounting, AutoCount, QuickBooks, or equivalent).
  • Tools: Proficiency in Microsoft Office (Excel, Word) and cloud-based file management systems (e.g., Google Workspace).
