About the role
The Accounts Payable Executive supports WellStat's daily accounts payable operations and provides administrative assistance to the Finance and Accounting team. The role is responsible for accurate invoice processing, vendor account maintenance, payment-related administration and support for month-end and audit activities. The successful candidate will be proactive, organised and able to manage multiple priorities in a fast-paced environment.
KEY RESPOSIBILITIES
- Manage the shared inbox and respond promptly, efficiently and professionally.
- Maintain and process accounts payable in accordance with Company policies.
- Process vendor invoices for payment in the accounting system.
- Monitor and maintain open accounts payable items, including reconciliation to vendor statements.
- Communicate with suppliers and internal partners regarding missing documents or information, bank-change requests and price variances.
- Scan issued cheques and maintain the outstanding-cheques tracker.
- Provide backup support to the accounts receivable function, including collection calls and recording customer cash receipts in the system, as needed.
- Assist with month-end activities, including journal-entry preparation, reconciliations and financial-statement preparation.
- Prepare purchase orders and track order status, items in transit, items received and items returned, as necessary.
- Assist with compiling information requested for the year-end audit.
- Receive, log, scan, distribute and file physical mail.
- Provide administrative assistance to the Accounting team.
- Support special projects and ad hoc requests, as required.
Required
- At least three years of experience, in accounts payable and accounting administration.
- Diploma or degree in Business Administration, Accounting or an equivalent discipline
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook and Teams; ability to process invoices, reconcile vendor statements and maintain accurate accounting records.
- Strong oral communication and interpersonal skills, with the ability to communicate effectively with internal and external contacts at varying organisational levels
- Strong written and spoken English.
