Job Description

Purpose of Job

  • To provide quality financial support to the Finance Department in dealing with donors, third parties, consultants, suppliers, and internal stakeholders (project executants and other department/unit staff), ensuring compliance with legal, financial, and donor requirements.
  • To support the Finance Department in the timely closure of accounts, ensuring prompt and accurate reporting and analytics.
  • To provide administrative and operational support for the smooth and efficient functioning of the Finance Department for the Peninsular Malaysia office.
  • The incumbent is also required to provide general support and full co-operation to the Department in which he/she operates and contribute to the Annual Finance Plan in achieving the Department's objectives and targets.

Key Outputs

1) Delivery of quality services in month-end closing of accounts and ensuring smooth working relationships with third parties, consultants, vendors/suppliers, donors and internal stakeholders.

2) Effective management of:

  • Accounts Receivable
  • Inventories
  • Fixed Assets
  • Payroll (payments and journals)
  • Staff Claims

Major Activities

  1. Perform day-to-day processing of GL transactions to ensure accurate and up to date financial records.
  2. Prepare and process invoices for sales or services rendered promptly and accurately.
  3. Ensure timely and accurate processing of all receipts and collections. Monitor and reconcile the Accounts Receivable Ledger monthly, resolving outstanding items or discrepancies with relevant stakeholders.
  4. Support e-invoicing processes to ensure accurate and timely submissions to the Inland Revenue Board.
  5. Prepare the monthly income report prior to the issuance of the management report.
  6. Maintain efficient inventory records, manage physical stock counts and perform timely stock reconciliations.
  7. Maintain and update fixed asset records and supporting schedules on a monthly basis. Reconcile them with Procurement's Fixed Asset Register to ensure accuracy and completeness.
  8. Verify monthly staff claims and ensure adherence to the organisation's Terms and Conditions in claim submissions.
  9. Administer and support the E-Claims system, including user training and backup assistance in claims reporting.
  10. Process staff payroll and statutory payments and prepare salary journals.
  11. Support month-end and year-end closings, preparing accounting schedules and related reports accurately and on time.
  12. Provide back-up support to all other Finance team members during their absences or periods of increased workload.
  13. Perform any other duties as assigned by the Senior Executive - AR and the Senior Manager.
  14. Ensure the confidentiality and safekeeping of Finance Department data and information.
  15. Actively participate in Finance Department meetings and discussions.
  16. Ensure compliance with legal framework that binds the organisation both nationally and internationally.

Specifications

  1. Diploma or degree in Accounting or Finance from a recognised institution of higher learning, or professional qualification (e.g. ACCA, CIMA).
  2. Minimum of two (2) years working experience in accounting, finance or auditing would be an advantage.
  3. Analytical, resourceful, meticulous and well-organised, with a strong attention to accuracy and detail.
  4. Excellent communication skills, both written and verbal, for business correspondence and interaction with internal stakeholders.
  5. Proficient in computer applications and able to utilise relevant technology for reporting and presentations.
  6. Strong command of written and spoken English and Bahasa Malaysia.
  7. Good interpersonal skills, innovative thinking, ability to work effectively both independently and as part of a team.
  8. Mature, self-motivated individual capable of working with minimal supervision.
  9. Pleasant disposition, hardworking, committed, and a collaborative team player.
  10. Awareness of current issues, particularly environmental and conservation matters, is an added advantage.

Salary Range

RM2,200 - RM2,700
