Job Description

Key Responsibilities:

1. Office Administration & Support

  • Handle day-to-day administrative tasks to ensure smooth office operations.
  • Maintain office supplies inventory and coordinate procurement.
  • Organize and manage filing systems (physical and digital).

2. Calendar & Scheduling Management

  • Coordinate and schedule meetings, appointments, and travel arrangements.
  • Assist in preparing meeting agendas, minutes, and follow-ups.
  • Manage conference room bookings and office events.

3. Communication & Correspondence

  • Handle incoming and outgoing calls, emails, and correspondence.
  • Prepare reports, presentations, and official documents as required.
  • Act as a point of contact for internal and external stakeholders.

4. Data Entry & Record Keeping

  • Maintain and update company databases and records.
  • Assist in preparing reports and maintaining confidentiality of sensitive information.
  • Ensure accurate documentation of administrative and HR-related files.

5. HR & Employee Support (If applicable)

  • Assist with onboarding new employees (paperwork, ID issuance, workspace setup).
  • Maintain employee attendance and leave records.
  • Support HR with administrative tasks like payroll processing and policy communication.

6. Travel & Expense Coordination

  • Arrange travel bookings, accommodations, and itineraries for employees.
  • Process expense reports and reimbursements in coordination with finance teams.

7. Office Maintenance & Vendor Coordination

  • Liaise with facility management for office cleanliness and maintenance.
  • Coordinate with vendors for office supplies, repairs, and other services.
  • Ensure a well-organized and professional office environment.

8. Compliance & Confidentiality

  • Ensure adherence to company policies and legal regulations.
  • Handle confidential and sensitive information with discretion.
  • Support audits and compliance-related administrative tasks.
