Position: Admin Assistant (Fresh Graduates Are Welcome)

Working Days: Monday - Friday, Alternative Saturday

Responsibility:

Admin Assistant

  • Accurately enter delivery orders (DO) and invoices into the system.
  • Input sales, customer, and stock data to maintain correct internal records.
  • Respond to customer inquiries via WhatsApp, resolving issues promptly.
  • Perform regular stock counts in the warehouse and update inventory records accordingly.
  • Arrange for courier services, ensuring timely delivery of goods with proper documentation.

Spare Parts & Warranty Admin Assistant

  • Manage stock issuance and ensure accurate recording of all outgoing spare parts.
  • Perform routine stock checks and inventory reconciliation.
  • Record and update all incoming warranty units in the system accurately.
  • Follow up with dealers regarding warranty claims and status updates.
  • Process purchase returns for warranty-related cases.
  • Conduct quality control (QC) checks on completed warranty repairs before release.
  • Prepare warranty reports, credit notes (CN), and product exchange documentation.
  • Manage packing and posting of completed warranty units.

Requirement:

  • Candidates must possess at least a Diploma in Business Administration, Office Management, or a related field.
  • Basic proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Good verbal and written communication skills.
  • Strong organizational skills and ability to manage multiple tasks.
  • Ability to work with minimal supervision.
  • Detail-oriented with good accuracy in administrative tasks.
  • Ability to work under pressure and adapt to changes.
