We are seeking a responsible, organized, and detail-oriented Admin cum Accounts Assistant to support daily administrative operations and accounting functions. This role plays a key part in ensuring smooth office workflow, accurate financial records, and timely preparation of quotations and documentation. The ideal candidate should be proactive, accurate with numbers, and able to multitask in a fast-paced environment.
Key Responsibilities
Administrative Duties
- Manage day-to-day office administrative tasks and ensure smooth operations
- Handle phone calls, emails, and customer/supplier correspondence professionally
- Maintain and organize filing systems (physical and digital documents)
- Prepare official letters, reports, and documentation
- Coordinate meetings, appointments, and schedules
- Manage office supplies and liaise with vendors/suppliers
- Assist in logistics, shipping arrangements, and courier coordination
- Maintain proper record keeping and document control
- Support general office and HR administrative matters
Accounts & Finance Duties
- Perform accurate data entry for accounting transactions
- Prepare invoices, delivery orders, purchase orders, receipts, and payment vouchers
- Prepare and issue customer quotations, cost estimates, and pricing documents in a timely manner
- Follow up on quotations and coordinate with sales/management for approvals
- Monitor accounts receivable and payable
- Follow up on customer payments and supplier invoices
- Handle petty cash management and expense tracking
- Assist with bank reconciliation and monthly financial reporting
- Support month-end closing and audit preparation
- Maintain proper financial documentation and records
- Liaise with external accountants/auditors when required
Requirements
- Diploma/Degree in Accounting, Finance, Business Administration, or related field
- 13 years of experience in admin and/or accounts role (fresh graduates with relevant knowledge are welcome)
- Basic accounting knowledge
- Proficient in Microsoft Office, especially Excel
- Experience with accounting software is an advantage
- Strong organizational and multitasking skills
