Job Summary
The Personal Assistant to the Group CFO is responsible for providing comprehensive executive support to the Group CFO, including calendar management, meeting coordination, communications and correspondence support, board and audit committee logistics, travel and expense administration, and confidential filing management.
- The position also supports the CFO Office on internal coordination, documentation discipline, and key strategic initiatives, ensuring efficient operation of the CFO Office and effective use of the Group CFO's time.
Key Responsibilities
Calendar & Meeting Coordination
- Manage the Group CFO's calendar, including scheduling, prioritisation, and protection of deep-work blocks.
- Coordinate board and audit committee meetings, including agenda circulation, paper distribution, and attendee tracking.
- Liaise with the Company Secretary on meeting documentation and minute-taking.
- Coordinate meetings with internal senior leadership and external stakeholders.
- Ensure preparation of meeting materials and timely follow-up of meeting action items.
Communications & Correspondence
- Prepare and proof CFO communications, including board memos, internal memos, and external correspondence.
- Maintain consistent CFO voice, formatting, and quality across all written communications.
- Manage CFO inbox triage and prioritisation; draft holding responses where appropriate.
- Route enquiries and information requests to the relevant senior leadership where appropriate.
Travel & Administrative Support
- Coordinate Group CFO travel, accommodation, and meeting logistics for domestic and international engagements.
- Manage CFO expense claims and ensure documentation meets internal controls and audit trail standards.
- Coordinate logistical support for CFO offsite engagements and external meetings.
- Support general administrative requirements of the CFO Office.
Documentation & Filing Management
- Maintain the CFO Office confidential filing system across board, audit, Group, and related-party documentation.
- Ensure documentation discipline appropriate to a fast-growing Group with multiple operating entities.
- Ensure CFO documents are easily retrievable for advisors, auditors, and due diligence teams.
- Support corporate scaling-related documentation requirements as the Group expands.
Process Improvement & Operational Support
- Support continuous improvement of CFO Office processes and tools.
- Assist in strengthening internal coordination and information flow.
- Collaborate with senior leadership PAs and Executive Assistants to improve cross-functional coordination.
- Perform any ad-hoc duties assigned by the Group CFO.
Key Performance Indicators (KPI)
- Effective management of CFO calendar and meeting cadence.
- Timely and accurate preparation of CFO communications and meeting materials.
- Reliability of board and audit committee logistics and follow-up.
- Quality and discipline of confidential filing system and documentation management.
- Improvement in CFO Office process efficiency and internal coordination.
Requirements
Qualification
- Bachelor's Degree in Accounting, Finance, Business, or equivalent qualification.
Experience
- Minimum 2–3 years of working experience in Personal Assistant, Executive Assistant, or senior administrative support roles.
- Experience supporting C-suite or senior management is highly preferred.
- Experience in a fast-growing, multi-entity, or institutional environment is an added advantage.
