Job Summary:
The Administrative Executive oversees and coordinates the daily administrative operations within the property management department. This role ensures the smooth functioning of office processes, supports management in decision-making, and maintains compliance with company policies and property regulations.
Key Responsibilities:
- Supervise and coordinate administrative staff and daily office activities.
- Manage documentation related to property leases, tenancy
- agreements, maintenance contracts, and renewals.
- Ensure compliance with property laws, safety standards, and internal
- procedures.
- Prepare reports, presentations, and performance summaries for management.
- Oversee billing, payments, and petty cash management.
- Assist in preparing budgets and tracking property-related expenses.
- Coordinate procurement of supplies, vendor contracts, and service providers
- Liaise with property owners, tenants, vendors, and service providers.
- Handle escalated tenant issues and coordinate resolutions with the operations team.
- Schedule meetings, prepare minutes, and follow up on action items.
- Maintain and update property databases, tenant directories, and documentation archives.
- Generate management reports and support audit requirements.
Requirements:
- Degree in Estate Management, Business Administration, Building Services or a related field.
- Proven experience in administrative roles, preferably in property or facilities management.
- Strong organizational and multitasking skills.
- Fluent in the use of property accounting systems.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Good written and verbal communication skills in English and Bahasa Malaysia.
- Able to work independently and collaboratively in a team environment.
