We are looking for a detail-oriented Admin Executive / Manager to support our day-to-day office operation. This position will be based in our Singapore office.
Job Responsibilities
Office Administration
- Oversee daily office operations including managing phone calls, greeting visitors, handling mail, and maintaining a well-organized workspace.
- Ensure office equipment and supplies are well-stocked and functioning properly.
Correspondence & Documentation
- Draft, format, and prepare letters, emails, reports, and official documentation.
- Organize and maintain company files and records for easy retrieval.
Facilities Management & Procurement
- Coordinate office maintenance, repairs, and service provider appointments.
- Manage purchasing, inventory tracking, and distribution of office supplies.
Budgeting & Expense Tracking
- Assist in the preparation, tracking, and reporting of administrative budgets.
- Monitor office-related expenditures and reconcile invoices against purchase orders.
- Support petty cash management and monthly expense reporting.
Finance & Accounts Support
- Assist with data entry for accounts payable/receivable and financial record-keeping.
- Coordinate with the finance team for invoice processing, claims, and payment tracking.
- Help compile documents for audits and financial reporting purposes.
General Support
- Provide administrative and operational support to various departments as needed.
Requirements
- Singaporean / PR only.
- Diploma or equivalent qualification.
- 1-2 years of experience in an administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills in English.
- Ability to work independently and as part of a team.
- Meticulous attention to detail and a proactive approach to problem-solving.
- Fluency in Mandarin will be an added advantage.
Working Hour : Monday to Friday 9am 6pm
