The Admin & Operations Executive supports daily business operations with a focus on administrative coordination, basic finance support, and operational efficiency. The role requires strong organisational skills, attention to detail, and a basic understanding of finance-related processes.
Job Responsibilities
- Oversee daily office operations including phone calls, visitor reception, mail handling, and maintaining an organised workspace
- Ensure office equipment and supplies are well-stocked, functional, and properly maintained
- Organise and maintain company files, records, and documents for easy retrieval
- Support data entry, record keeping, and general document management tasks
- Coordinate office maintenance, repairs, and service provider appointments
- Manage purchasing, inventory tracking, and distribution of office supplies
- Assist in preparing, tracking, and reporting administrative budgets and expenses
- Assist with data entry for financial records
- Support finance team in invoice processing, payment tracking, and audit documentation
- Assist with ad-hoc tasks to ensure smooth daily business operations
Requirements
- Diploma or equivalent qualification.
- 1-2 years of experience in an administrative / finance / operation role.
- Proficient in Microsoft Office / Google Workspace
- Good written and verbal communication skills in English.
- Strong organizational, multitasking and time management skills.
- Detail-oriented, responsible, and able to work independently
- Good communication and coordination skills
- Meticulous attention to detail and a proactive approach to problem-solving.
- Fluency in Mandarin will be an added advantage.
