Job Description

Adecco's client is seeking a highly organised, people-focused, and operationally strong Administrative Assistant to oversee workforce administration, foreign worker compliance and management, and office/plant facilities coordination in a fast-paced manufacturing environment. The ideal candidate is proactive, detail-oriented, and experienced in managing immigration processes, vendor partnerships, and workplace facilities to ensure smooth daily operations.

Key Responsibilities

  • Oversee and optimise administrative workflows, ensuring alignment with company policies and local regulations
  • Maintain structured document control and archive systems for contracts, licenses, and official corporate records, ensuring audit readiness
  • Coordinate work visa applications and renewals, ensuring compliance with immigration laws, while liaising with government bodies and external providers
  • Monitor contract and license renewal timelines and manage applications to support ongoing manufacturing operations
  • Supervise reception/front desk operations, visitor management, and ensure professional first impressions
  • Ensure office facilities and operational equipment are well-maintained by coordinating maintenance, repairs, and vendor support
  • Provide administrative and operational coordination to internal departments, managing logistics and resources for daily operations
  • Plan and execute company meetings, staff engagement events, and activities, including budget coordination and post-event administration
  • Manage ad-hoc administrative and operational tasks as assigned by management

Requirements

  • 35 years of experience in administration, office management, or operational support roles within the manufacturing industry
  • Strong process ownership, organisational ability, and multitasking skills with high attention to detail
  • Good communication, coordination, and negotiation capabilities for stakeholder and vendor management
  • Ability to follow instructions, execute tasks accurately, and work independently with minimal supervision
  • Experience or strong understanding of immigration processes, contract tracking, and facilities coordination is an added advantage
  • Comfortable managing multiple priorities, tight deadlines, and fast-paced operational demands
  • Proficient in Microsoft Office, Google Workspace, communication platforms, and document management systems
