Duties & Responsibilities:
1. Administrative & Clerical Support
- Provide full administrative and clerical support to ensure efficient office operations.
- Manage incoming and outgoing correspondence, including emails, phone calls, and physical mail.
- Maintain proper filing systems (both physical and digital) for easy retrieval of documents and records.
2. Coordination & Scheduling
- Coordinate and arrange meetings, appointments, travel itineraries, and daily schedules for management.
- Prepare meeting logistics, including meeting rooms, refreshments, and required materials.
3. Office Operations & Maintenance
- Coordinate office maintenance and repair works with vendors and service providers.
- Monitor cleaner duty schedules and ensure cleanliness standards are maintained.
- Assist in monitoring office utilities and billing matters, including escalation of service disruptions when necessary.
4. Procurement & Inventory Management
- Oversee procurement of office supplies and ensure adequate stock levels at all times.
- Explore and recommend new office supplies or cost-effective alternatives when appropriate.
- Maintain proper records of office assets, inventory, and usage tracking.
5. Documentation & Reporting
- Prepare reports, presentations, meeting minutes, and other official documents as required.
- Ensure accuracy, completeness, and proper formatting of all documentation.
6. Events & Corporate Support
- Assist in the planning and coordination of company events, functions, and VIP visits.
- Provide logistical and administrative support during corporate events and internal activities.
7. General Administrative Support
- Provide general support to management as required, including ad-hoc administrative tasks.
- Assist HR-related engagement activities such as document preparation, employee coordination.
- Provide front-desk or reception support during events or when required.
Job Requirements:
- Minimum SPM qualification or equivalent.
- Proficient in both English and Bahasa Malaysia; ability to understand Mandarin is an added advantage.
- Pleasant personality with a strong sense of responsibility and cleanliness.
- Able to work independently and as part of a team.
- Punctual, reliable, and service-oriented.
- This position is offered on a fixed-term contract basis, subject to the agreed contract duration and terms.
- Working Location: Headquarters – Hua Yang Berhad.
