About the role

As an Admin Executive at Intrinseque Health, you will play a crucial administrative and operational support role within our dynamic organisation. In this full-time position based in Melaka Tengah Melaka, you will be responsible for ensuring the smooth day-to-day running of our offices and supporting our hardworking teams.

What you'll be doing

  • Providing comprehensive administrative assistance, including managing schedules, coordinating meetings, and handling correspondence
  • Oversee general office operations including reception, mail handling, housekeeping coordination, and office upkeep.
  • Support logistics for internal events, meetings, and team-building activities including venue booking, catering, and guest coordination.
  • Liaise with vendors, service providers, and building management for facility and maintenance requirements.
  • Maintaining detailed records and filing systems to keep information organized and easily accessible.
  • Track and manage lease-related payments such as rent, electricity, water, and other utility bills, ensuring timely payments and accurate record-keeping.
  • Manage procurement and inventory of office supplies, pantry items, and stationery to ensure availability and cost-effectiveness.
  • Handling various clerical duties such as data entry, photocopying, and document processing
  • Liaising with internal and external stakeholders to address queries and provide excellent customer service
  • Supporting the wider team with ad-hoc tasks and projects as required.
  • Manage visitor protocols, welcome kits, and hospitality for guests and stakeholders.

What we're looking for

  • Demonstrated experience in an administrative or office support role, preferably within the healthcare industry
  • Excellent organizational and time management skills, with the ability to priorities effectively
  • Strong attention to detail and a keen eye for accuracy
  • Proficient in using Microsoft Office suite and other relevant software
  • Effective communication skills, both written and verbal
  • A proactive and adaptable approach to problem-solving
  • A team player with a positive, friendly attitude
