Job Description

SALARY RANGE RM3,000-RM5,000

Responsibilities:

The responsibilities of this position include providing general administrative support and academic administration for all educational programs offered by the Academic Units (i.e. Faculties, LTU and School of Foundation Studies) in compliance with various policies and procedures relevant to the academic operations of the University. The appointee will work closely with the Deans, Associate Deans, Head of Learning and Teaching Unit (LTU), Heads of Schools, Head of Departments, and other staff on campus.

The appointee will be required to participate on relevant committees as and when is needed for the efficient performance of duties and as directed by the Manager, Academic Administrative Office; or Deputy Pro Vice-Chancellor (Academic); and/or by an authorized personnel.

General Administration

  • Support Academic Heads with operations, finance, and procurement.
  • Manage internal research grants, budgets, and compliance.
  • Administer staff consultancy agreements and tracking.
  • Coordinate MDEC reporting and serve as the audit liaison.
  • Organize academic meetings, training, and workshops.

Program & Student Support

  • Assist with timetables, scheduling, enrollment, and exams.
  • Act as the main contact point for student and staff inquiries.
  • Support quality assurance, compliance, and audit preparation.
  • Drive the digitalization of administrative workflows.

Safety & Culture

  • Ensure a safe, clean, and compliant work environment (OHS).
  • Deliver excellent service to visitors, staff, and students.

Qualifications and Criteria:

  • A Bachelor's degree in relevant discipline from a recognized institution, or a Bachelor's degree with subsequent relevant experience; OR
  • A Diploma with a minimum of three (3) years of relevant work experience. Fresh Bachelor degree holders in relevant discipline can be considered.
  • Knowledge in using Microsoft Office applications for reporting purposes.
  • Good problem-solving skills and ability to handle more than one priority at a time.
  • Strong communication skills, in written and spoken English and Bahasa Melayu.
  • Experience in academic data handling or institutional reporting with proficiency in Excel and familiarity with Big Data Analysis using Power BI & Power Query tools.
  • Integrity and confidentiality in handling sensitive academic records.
  • Experience in dealing with professional bodies.
  • Prior involvement in academic planning, accreditation, or quality assurance activities.
  • Understanding of academic structures, student life cycle, and operational processes.
