Job Description

Job Summary:We are seeking a dedicated and detail-oriented Administrative and Sales Support Executive to support the daily operations of the company.This role will require handling of inquiries and orders, while also providing essential administrative and financial support.The ideal candidate should possess, excellent organizational skills, and a foundational knowledge of bookkeeping.Having an interest in wine is a bonus.

Key responsibilities

Customer Service & Sales Support

Assist sales representatives to process customer orders, assist with sales invoices, credit notes, write off forms & delivery orders.

Assist in payment collection from clients.

Coordinate delivery schedules with drivers and sales representatives to ensure timely and accurate shipments.

Administrative & Operational Support

Check & verify employee entertainment claims and allowance (phone & transport) claims.

General office duties, filing, scanning and managing office supplies.

Maintain an accurate & systematic records of all invoices, deliveries and sales contracts.

Accounting & Financial Support

Assist and manage full set of accounts; which includes, receivable, payable, following up on overdue customer payments, fixed assets & inventories.

To support the accounts department in preparing financial documents and to assist with month end closing tasks (General Ledger, journals, schedules & reconciliations).

To assist with the preparation & coordination of yearly audit process.

Required skills & qualifications

  • Education:Diploma qualification in any field that has some relevance to Accounting and Finance or equivalent.
  • Experience:Preference is to have at least 1 year experience in assisting/managing a full set accounts.Prior experience in an accounting firm is preferred but not essential.
  • Technical Proficiency:Ideally, proficient in using an enterprise resource planning (ERP) system or a financial management software.Fluent with MS Office applications.
  • Attention to Detail:Meticulous organisational & record keeping abilities to manage inventory, finances and customer data.
  • Interpersonal Skills:Excellent communication and interpersonal skills.
  • Independent:Able to work independently and able to collaborate in a team environment.
