Role Summary
The Administrative Support plays a lead administrative role for the New Co site, providing end‑to‑end site administration while serving as the primary onsite coordinator for HR operational matters. This role operates with a high degree of independence, owns administrative and HR coordination processes, ensures compliance with government statutory requirements, supports training administration, and coordinates payroll‑related activities in partnership with central HR and payroll teams.
The role is expected to solve problems independently, influence stakeholders, and continuously improve administrative and HR support processes for the site.
Key Responsibilities
1. Site & Office Administration
. Own and oversee site‑wide administrative and clerical operations, ensuring smooth day‑to‑day office functioning.
. Act as the primary point of contact for site administrative matters, resolving issues independently and escalating only when required.
. Manage office vendors and service providers (e.g. facilities, cleaning, maintenance, supplies) and monitor service quality.
. Maintain and continuously improve administrative processes, documentation, and filing systems (physical and digital).
. Support site leadership with site leaders meeting coordination, logistics, and administrative follow‑ups as required.
2. HR Coordination - Statutory & Compliance
. Serve as the onsite HR administrative coordinator for government statutory requirements, ensuring accurate and timely submissions, registrations, and documentation in line with local regulations.
. Liaise directly with external agencies and government bodies, resolving issues and coordinating responses with minimal supervision.
. Ensure data integrity for statutory, audit, and compliance purposes.
. Provides support HR audits, inspections, or reviews related to statutory and employment compliance.
3. Payroll Coordination & Employee Data Management
. Manage statutory filings
. Provides support to the payroll function by handling routine payroll-related inquiries, coordinating with the Payroll Specialist on employee concerns.
4. Leadership, Coordination & Continuous Improvement
. Exercise sound judgment to resolve a wide range of administrative and HR coordination issues independently.
. Coordinate across functions and with external parties to ensure efficient site operations.
. Proactively identify opportunities to improve administrative efficiency, standardize processes, and enhance employee experience at the site.

. High level of professionalism, discretion, and confidentiality in handling sensitive information.
. Strong organizational, prioritization, and problem‑solving skills.
. Effective written and verbal communication skills, with the ability to interact confidently with senior stakeholders and external agencies.
. Strong coordination and stakeholder management capabilities.
. Proficient in Microsoft Office and administrative systems comfortable managing data accuracy and documentation.
Qualifications & Experience
. Diploma or bachelor's degree in business administration, Human Resources, or a related field.
. Several years of progressive experience in administrative support with demonstrated exposure to HR coordination, statutory compliance, training administration, and/or payroll support.
. Experience operating in a site‑based, standalone, or new‑entity environment is strongly preferred.
