Job Description

JOB DESCRIPTION

Work assigned is not limited to the job scope listed below, may be assigned to another function based on theworkload and requirement:

  • Support end-to-end automation and process improvement initiatives by gathering business requirements, analysing operational processes, and developing digital solutions that improve efficiency, accuracy, and service delivery.

  • Bridge business and technical functions by translating operational needs into structured process documentation, automation workflows, and implementable solution requirements while ensuring alignment with governance and quality standards.

  • Support the implementation, monitoring, and continuous enhancement of automation solutions through testing, operational support, stakeholder coordination, and adoption of emerging digital technologies and best practices.

JOB RESPONSIBILITIES

Innovation and Process Excellence

1.1 Business Analysis & Requirements Management

  • Gather, analyse, and document business requirements, process flows, and operational data to support automation and improvement initiatives.
  • Conduct process assessments to identify automation opportunities, operational gaps, risks, and optimisation potential.
  • Translate business and operational requirements into functional and technical solution requirements.
  • Prepare and maintain structured documentation including process maps, business requirements, functional specifications, meeting notes, and action logs.
  • Liaise with business users, technical teams, and stakeholders to clarify requirements and ensure alignment throughout project execution.

1.2 Automation Solution Development & Implementation

  • Design, develop, configure, and maintain automation workflows and digital solutions using RPA and related technologies.
  • Support feasibility assessments by evaluating process complexity, business value, and implementation considerations.
  • Recommend suitable automation approaches including RPA, scripting, APIs, and low-code solutions under guidance of senior leads.
  • Conduct unit testing and support SIT/UAT activities to ensure solution quality, accuracy, and reliability.
  • Manage deployment activities and support production implementation in accordance with established change management processes.
  • Troubleshoot and resolve technical or functional issues for automation solutions and operational processes.

1.3 Operational Monitoring & Support

  • Monitor execution of scheduled automation processes to ensure operational stability and compliance with service level expectations.
  • Supervise digital worker performance, identify process exceptions, and coordinate issue resolution activities.
  • Track defects, incidents, and recurring issues while ensuring timely follow-up and resolution.
  • Maintain system health monitoring and escalate operational risks or critical failures appropriately.

1.4 Governance, Documentation & Quality Assurance

  • Ensure compliance with development standards, governance requirements, and documentation practices.
  • Maintain proper version control, technical documentation, process artefacts, and audit records.
  • Validate requirements against implemented solutions and report discrepancies where necessary.
  • Support quality assurance activities to ensure deliverables meet expected standards for accuracy, completeness, and timeliness.
  • Prepare reports, dashboards, and project status updates for management and stakeholder review.

1.5 Continuous Improvement & Technology Enablement

  • Support continuous improvement initiatives by analysing process performance data and identifying optimisation opportunities.
  • Contribute to enhancement of frameworks, reusable components, templates, and best practices within the automation function.
  • Explore emerging automation capabilities and technologies to improve operational efficiency and digital maturity.
  • Support knowledge sharing, user training, and adoption initiatives to ensure sustainability of implemented solutions.
  • Participate in departmental and enterprise-wide digital transformation initiatives.

JOB REQUIREMENTS

  • Bachelor's degree in Business Administration, Computer Science, Information Systems, or other related qualification recognized by the government.
  • Minimum 2 to 4 years of experience in business analyst, process improvement, or related fields.
  • Familiarity with working with automation tools (e.g., Blue Prism, UiPath, Automation Anywhere, Power Query) and proficiency in process mapping or documentation is preferred.
  • Strong analytical and problem-solving skills, with experience using DMAIC or other Lean/Six Sigma methodologies.
  • Adept at stakeholder management, facilitating requirements-gathering sessions, and driving consensus.
  • Experience in change management, user training, and project coordination.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent communication skills in English and Bahasa Malaysia; ability to articulate technical concepts to non-technical audiences.
  • Able to work effectively in a fast-paced, dynamic environment and adapt to changing business conditions.
  • Detail-oriented, proactive, and results-driven with strong interpersonal and team collaboration skills.
  • Malaysian citizen.
  • Pass the Malay Language including an oral test at the Sijil Pelajaran Malaysia (SPM) level or an equivalent qualification as recognized by the Government.
