This role involves managing office administrative and building facilities, foreign worker & expatriate management, employee relations, benefits administration, recruitment and onboarding as well as serving as a point of contact for employee concerns and questions.
1. Office Building Management
- Manage building services, housekeeping, maintenance schedules, vendor performance, and related contracts.
- Support annual budgeting and cost monitoring.
- Provide assistance in IT coordination where required.
2. Foreign Worker & Expatriate Management
- Administer staff hostel facilities, including maintenance, tenancy renewals, and utilities.
- Ensure adherence to regulations governing foreign workers.
- Manage expatriate matters, including work permits, visa renewals, and statutory compliance.
3. Travel Management
- Ensure timely applications and renewals of visas, KITAS, and APEC cards.
- Coordinate comprehensive travel logistics, including flights, accommodation, and insurance.
4. Employee Engagement & Welfare
- Plan, coordinate, and execute activities to foster employee engagement and well-being.
- Support welfare initiatives that promote a positive workplace culture.
5. Compensation & Benefits
- Verify employee claims with accuracy and ensure timely processing.
- Review and validate panel clinic invoices to ensure correctness and cost efficiency.
6. Recruitment & Onboarding
- Support recruitment activities such as job posting and ensure a smooth onboarding and orientation process for new hires.
7. Miscellaneous & Support Functions
- Provide support for Zoom meetings and basic IT-related tasks.
- Undertake ad-hoc assignments as directed by management.
Requirements:
- Degree in Human Resources Management / Psychology or its equivalent.
- Preferably 6 to 8 years of work experience
- HR generalist background from manufacturing or factory environment
- Experience in building & office facility management and foreign worker management
- Good people management skills
- Strong communication and interpersonal skills
- Knowledge of employment laws and HR principles
- Detail-oriented and trustworthy
- Willing to work in Subang Jaya
