About the Job
You will play a key role in developing and executing the strategic vision for events planning and promotional activities within the division. You will also be responsible for leading the planning, coordination and execution of company's major events.
Event & Incentive Trip Management
- End-to-end event and incentive trip management - Lead and manage the full lifecycle of the company events/incentive trips, covering pre‑event planning and preparation, logistics coordination, creative material development, event promotion to target audiences, and post‑event evaluation and reporting.
- Budget & timeline governance - Ensure all assigned projects are planned and executed within the approved budget and established timeline, with timely escalation of potential risks or deviations.
- Support HOD and team members in the execution of other events, ensuring smooth delivery of assigned responsibilities and contributing to overall event success.
Campaign & Promotions Support
- Assist HOD in managing annual or tactical sales contest promotions, including (but not limited to) planning promotional calendars, sourcing premium items, and coordinating reward distribution, as and when required.
- Support in proofreading promotional materials such as newspaper advertisement, award booklet and achievers booklet, as and when required.
Agency Communications Support
- To support the department in executing communication initiatives, such as publishing relevant documents and information on the company website, conducting SMS blasts, and posting updates on social media and WhatsApp chatgroups.
Financial Operations Management
- Oversee junior staff handling financial operations in the department and ensure 100% accuracy for all vendor payments, contest payouts, and clawback processing.
- Maintain up‑to‑date expense trackers for all projects and submit the consolidated report to Finance quarterly within the stipulated deadlines.
Department Compliance Officer (DCO)
- Undertake the role and responsibilities of a DCO with respect to compliance risk management and reporting.
Procurement Activities
- To ensure all procuring activities conducted are adhered to GELM Procurement Operating Guidelines and all documents relating to procurement process are retained for review or audit purpose.
- Take accountability in considering business and regulatory compliance risks and take appropriate steps to mitigate the risks.
- Maintain awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
- Highlight any potential concerns /risks and proactively share best risk management practices.
We are looking for people with
- Bachelor's degree in event management, marketing, hospitality management, or a related field and possess strong communication and planning skills.
- At least 3 - 5 years of working experience in events planning, administrative/ supporting roles, preferably in financial/ insurance industry.
- Exceptional organizational and project management skills, with the ability to prioritize tasks, meet deadlines, handle multiple projects simultaneously and meet dynamic demands.
- Strong interpersonal, verbal and written communication skills, with the ability to build relationship with internal stakeholder and external vendor. Ability to communicate in Mandarin is an added advantage.
- Creative thinking and problem-solving abilities, with a focus on delivering exceptional event experiences to our agency force.
- Flexibility to work evenings, weekends or public holidays as required by event schedules. Able to travel outstation (within Malaysia).
