Job Purpose
To supports project and operational procurement activities by coordinating sourcing processes, tracking procurement progress, ensuring compliance with PMO governance, and maintaining accurate reporting and documentation. The role plays a key part in ensuring timely, costeffective, and compliant procurement delivery across projects. The role also delivers Secretariat support to MTC/BTC and provides strategic support in data analytics, training needs assessment, and budgeting.
Key Accountabilities
Project Planning & Coordination
- Assist in developing integrated project plans (scope, timelines, milestones, dependencies, resources, risks) for cross-functional programs.
- Facilitate project kick-offs, RACI alignment, and stakeholder communications.
- Coordinate with business owners, IT, procurement, finance, and operations to ensure readiness and alignment.
- Maintain up-to-date roadmaps, RAID logs, and change impact assessments.
Project Implementation and Tracking
- Support end-to-end delivery of projects and initiatives.
- Track configuration, testing (UAT), cutover, and hypercare activities; escalate blockers proactively. 3. Ensure SOPs, process maps, and user guides are developed and current.
- Coordinate vendor/partner deliverables and ensure adherence to SLAs.
Performance Monitoring (KPI) and Reporting
- Assist in tracking and analyzing operational KPIs (e.g., cycle times, touchless rates, GR/IR aging, WMS accuracy, OTIF, cost-to-serve).
- Identify root causes of variance and recommend corrective actions.
- Run monthly performance reviews; maintain a KPI library and lineage documentation.
- Monitor progress against Annual Business Plan (ABP) targets and Project Management Office (PMO) dashboards.
Secretariat Functions (MTC, BTC)
- Assist on manage MTC meeting cycles: scheduling, pre-reads, agenda setting, minutes, and action tracking.
- Ensure governance compliance (decision logs, action owners, due dates, closure validation). Maintain central repository for committee materials with version control and access governance.
Strategic Support (Data Analytics, Training Needs, Budget)
- Assist on build dashboards/analysis to support decision-making.
- Assist on conduct Training Needs Analysis (TNA), coordinate curricula, and track learning adoption.
- Support budgeting/forecasting for programs and track actuals vs. plan; highlight variances and risks.
- Prepare briefing notes, business cases, and executive presentations.
Qualifications, Skills & Knowledge
- Bachelor's Degree in Supply Chain Management, Business Administration, Procurement, Finance, Engineering, or equivalent.
- Minimum 5 years in procurement, sourcing, or supply chain roles.
- Experience supporting project-based or PMO environments is preferred.
- Strong knowledge of procurement processes, sourcing strategies, and contract management.
- Project management tools (MS Project, Primavera, JIRA).
