Key Responsibilities
- Document Control:
- Manage and maintain all project documentation including drawings, specifications, contracts, and correspondence.
- Ensure that all documents are properly logged, filed, and easily retrievable.
- Distribute documents to relevant stakeholders and ensure receipt and acknowledgment.
- Monitor the document review process and ensure timely submission of documents.
- Administrative Support:
- Provide general administrative support to the site team, including scheduling meetings, managing calendars, and handling correspondence.
- Maintain office supplies and ensure that site offices are well-stocked and organized.
- Coordinate with suppliers and contractors for site needs and services.
- Assist in preparing reports, presentations, and other documentation required by the site management team.
- Site Coordination:
- Act as a point of contact between the site and the main office, ensuring smooth communication and coordination.
- Facilitate the onboarding process for new site staff, including arranging site access, accommodation, and transportation.
- Assist in organizing site meetings, including preparing agendas, taking minutes, and following up on action items.
- Manage site access control and maintain records of personnel, visitors, and deliveries.
- Compliance and Safety:
- Ensure that all site documentation complies with company policies and procedures, as well as local regulations.
- Support the site management team in implementing and maintaining health and safety protocols.
- Assist in coordinating safety training and ensure that all site staff are aware of safety procedures
Job Specifications
- A high school diploma or equivalent is required. Additional certification or training in document control or construction management is preferred.
- Minimum of 6-9 years of experience in a similar role, preferably in the construction industry or a related field.
- Experience with document control systems and construction documentation is highly desirable.
- Strong organizational and time-management skills with the ability to handle multiple tasks simultaneously.
- Excellent written and verbal communication skills in English and Bahasa Indonesia.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with document management software.
- Detail-oriented with strong problem-solving skills.
- Ability to work independently and as part of a team.
- Knowledge of health and safety regulations in the construction industry is an advantage.
- Reliable and responsible with a strong work ethic.
- Adaptable and able to work in a fast-paced construction environment.
- Proactive and able to anticipate the needs of the site management team.
- High level of integrity and discretion in handling confidential information.
