Job Description

Job Summary

The Assistant Project Manager supports the planning, coordination, and execution of projects within the Food & Beverage (F&B) operations, including outlet openings, renovations, operational improvements, and system implementations. This role works closely with internal stakeholders, vendors, contractors, and operations teams to ensure projects are delivered on time, within budget, and in compliance with quality, safety, and regulatory standards.

Key Responsibilities

Project Coordination & Execution

  • Assist in planning, scheduling, and tracking F&B projects such as new outlet setup, refurbishments, and operational rollouts
  • Coordinate with contractors, suppliers, designers, and internal departments to ensure smooth project execution
  • Monitor project timelines, budgets, and deliverables; flag risks or delays promptly
  • Prepare project documentation, progress reports, and meeting minutes

Operations & Stakeholder Support

  • Liaise with Operations, Procurement, Finance, and QA teams to align project requirements
  • Support site inspections, testing, and handover processes prior to outlet opening or project completion
  • Ensure compliance with food safety, hygiene, and local authority requirements

Cost & Quality Control

  • Assist in tracking project costs, purchase orders, and variation claims
  • Ensure work quality meets company standards, brand guidelines, and safety requirements
  • Support vendor evaluation and performance tracking

Reporting & Administration

  • Maintain accurate project records, schedules, and documentation
  • Prepare regular status updates for Project Manager and senior stakeholders
  • Support ad-hoc project tasks and continuous improvement initiatives

Requirements

Education & Experience

  • Bachelor's Degree or Diploma in Project Management, Engineering, Construction, Hospitality Management, or related field
  • Minimum 13 years of experience in project coordination, preferably within the F&B, retail, or hospitality industry
  • Exposure to outlet opening, renovation, or fit-out projects is an advantage

Skills & Competencies

  • Strong organizational and multitasking skills
  • Good communication and stakeholder management abilities
  • Basic understanding of project management principles, timelines, and budgeting
  • Familiarity with local authority approvals, food safety, and hygiene standards is a plus
  • Proficient in Microsoft Office (Excel, PowerPoint, Word); project tools knowledge is an advantage
