Responsibilities:
Daily Tasks:
- Manage and resolve all customer complaints (GPs, hospitals, pharmacies and others).
- Handle complaint categories including short/wrong supply, goods damaged in transit, rejected deliveries (via own transport or courier) and missing parcels.
- Maintain and verify the returned goods rack and update pickers/checkers on return status.
- Monitor the flow of returned goods at the warehouse and prepare monthly GRN (Supply Error) reports for all related HODs.
- Provide detailed breakdowns upon request and reconcile defective return stock for OPD (GP) sample usage.
- Conduct and prepare qualification study reports, including warehouse and vehicle temperature mapping, instrument calibration and qualification.
- Retrieve, extract, analyze and share temperature data logger reports from manufacturers for reconciliation purposes.
- Ensure temperature readings are accurately recorded and reviewed.
- Maintain warehouse cleanliness as per SOPs and follow up on pest control activities and reports.
- Pharmacovigilance Support - Verify carton artwork for newly received pharmaceutical stocks in accordance with regulatory requirements.
- Verify that the Receiving Material Checklist is duly completed upon receipt of new stocks.
- Supervise staff in conducting stock verification, declaring shortages, organizing stock in designated areas and performing ad-hoc stock checks.
Weekly Tasks:
- Update the error/complaints details and stocks.
- Reconciliation and documentation of Psychotropic Signed
- Written Order.
Monthly Tasks:
- Handling of the pest control schedule, execution and report.
- Checking and documentation of the temperature graph.
- Organize and coordinate quarterly stock check with Warehouse Manager.
Annual Tasks
- Renewing of license.
- Thermohygrometer calibration and filing the calibration certificates.
- Maintenance of warehouse, documentation and requirements for internal and external audit.
- Disposal of damaged/expired goods through Kualiti Alam.
Job Requirements:
- Degree in Bachelor of Pharmacy, with license registered with the Pharmacy Board Malaysia.
- Minimum of three-year experiences in a similar role.
- Fair knowledge understanding of the entire Warehouse process and the logistics, supply chain sector.
- Good knowledge of Medical Products and supplies.
- Good skills in Microsoft Excel.
- Attention to detail and excellent numeric accuracy.
- Ability to understand and follow organizational procedures.
- Flexibility under pressure and in response to changing needs.
