What should you do

Business Support, Administration & Facilities Management

  • Manage Administration and Facilities Management payment processes, ensuring invoices are accurately processed and payments are completed within agreed timelines.
  • Track and monitor operational expenses including utilities, rent, and administrative costs, and report cost trends as a percentage of total expenses.
  • Monitor invoice status at all stages of submission, expense claims, and ensure sufficient Purchase Order (PO) balances are available prior to payment.
  • Update and maintain the Budget Tracker promptly before submitting invoices to Procurement or Accounts Payable.
  • Follow up proactively with vendors on pending invoices, credit notes, discrepancies, and overdue documentation.
  • Strengthen vendor communication to clarify billing requirements upfront and conduct periodic reviews or audits to identify and resolve discrepancies efficiently.
  • Process and ensure timely payment for company vehicle shell card charges.
  • Coordinate and arrange payments for utilities, rent, and other AFM-related invoices within stipulated timelines.
  • Assist business units with courier requests, including printing consignment notes and liaising with designated courier service providers.
  • Maintain proper documentation, records, and filing (physical and electronic) related to payments, contracts, and vendors.

Reception & Front Desk Management:

  • Serve as the first point of contact by warmly welcoming and greeting clients, visitors, applicants, and vendors in a courteous and professional manner.
  • Manage visitor registration, ensure compliance with security procedures, and guide guests to designated meeting rooms while offering refreshments when required.
  • Maintain a neat, professional, and welcoming reception area at all times in accordance with management guidelines.

Meeting Room, Event & Office Coordination:

  • Oversee meeting room bookings through Outlook Calendar and Microsoft Forms, ensuring accurate scheduling and availability.
  • Coordinate with Touch n Go Digital Admin Support for office or venue bookings.
  • Coordinate meeting room setup, cleanliness, and readiness with the Administration & Facilities and cleaning teams.
  • Arrange video conferencing and web meetings in collaboration with the Technology team as needed.
  • Ensure meeting rooms are cleaned, refreshed, and reset promptly after each meeting.
  • Assist with preparing drinks and light refreshments for meetings when required.
  • Coordinate catering for meetings and company events, including price negotiation, menu planning, securing approvals, and invoice verification for proper cost allocation.
  • Supervise cleaning support staff, ensuring meeting rooms, pantries, cutleries, snacks, and beverages are replenished and maintained in a timely manner.
  • Liaise with the Facilities & Maintenance team to request housekeeping, building services, or maintenance support when necessary.

General Duties

  • Provide administrative and operational support to Business Support, Administration, and Facilities teams as required.
  • Perform any other duties and tasks as assigned and/or required by management to support business operations.

Who should join us

  • Diploma or bachelor's degree in business administration, Management, or a related field is preferred.
  • 1–3 years of experience in administration, facilities management, receptionist, or business support roles.
  • Prior experience in payment processing, vendor management, or office coordination would be an advantage.
