Job Description

Purpose of Job

The Captive Administration Executive provides administrative and operational support to the captive management team in the delivery of captive insurance and related services. The role supports day‑to‑day captive operations, client servicing, and regulatory compliance activities in accordance with Labuan IBFC requirements, company policies, and client expectations.

Key Responsibilities

Captive Administration & Operational Support

  • Provide administrative support to the Principal Officer / Officer Manager in captive insurance and related consulting matters.
  • Assist in the day‑to‑day administration of captive accounts, including documentation, correspondence, record‑keeping, and filing.
  • Support preparation and maintenance of statutory records, client files, and internal documentation.
  • Assist in organising and coordinating captive board meetings, including preparation of meeting materials and follow‑up on action items.

Client & Account Management Support

  • Support captive account management activities in line with regulatory and client service requirements.
  • Handle routine inquiries and basic transactions from clients and prospects in a timely and professional manner.
  • Assist with onboarding of new captive accounts, including collection and verification of required documentation.
  • Follow up on outstanding client, regulatory, or internal matters to ensure timely resolution.

Regulatory & Compliance

  • Assist with compliance monitoring and administrative support related to Labuan regulatory requirements.
  • Support preparation and submission of regulatory filings and reports, as required.
  • Ensure all tasks are performed in compliance with company policies, procedures, and internal controls.
  • Escalate any identified issues, risks, or irregularities to the line manager promptly.

Professional Development & Continuous Improvement

  • Participate in continuous professional development (CPD), internal training programmes, and knowledge‑sharing sessions.
  • Continuously develop technical knowledge of captive insurance, regulatory requirements, and internal processes.

General & Ad-hoc Duties

  • Provide general administrative support to the team as required.
  • Undertake any other duties or projects assigned from time to time by management.

Knowledge and Experience

  • Bachelor's degree in business management, Insurance, finance, accounting or related disciplines
  • Minimum 1 year working experience in administration, corporate services, insurance, or financial services or a similar field is required.
  • Possessing relevant knowledge of insurance principles or captive insurance will be an added advantage.
  • Able to communicate effectively both orally and written in English and Bahasa Malaysia
  • Computer skills (Microsoft Excel, Word, and Power Point)
  • Team player with a positive, proactive, and responsible attitude.
  • Attention to accuracy and quality of work
