Receive customer instructions related to receiving and delivery schedules and take appropriate action.
Confirm that incoming goods match the Packing List after warehouse verification.
Prepare and request required documents such as Purchase Orders (PO), Invoices, and Packing Lists as necessary.
Communicate any special customer requests or requirements to the appropriate personnel.
Address and resolve issues when warehouse operations cannot meet specified requirements or deadlines.
Provide customers with requested reports or status updates as needed.
Record transactions like receiving, delivery, and location transfers in the Warehouse Management System (WMS).
Generate and issue inventory and movement reports from the WMS on a monthly basis or upon request.
Monitor and respond to email communications regularly with customers and other relevant parties.
Maintain daily movement reports using Microsoft Office tools.
Ensure monthly Key Performance Indicator (KPI) reports are submitted on time.
Create customer invoices based on inventory report data.
Perform cost updates in the system and provide estimated costs when required.
Finalize and verify job files before the monthly closing period.
Organize and file reports and documentation properly with complete and accurate details.
Inform warehouse staff of inbound and outbound plans and resolve any related issues that arise.
Report any instances where operations are unable to meet customer expectations.
Follow up with concerned staff to keep customers informed of task progress.
Provide accurate and timely data to the Billing Section to support on-time and precise invoicing.
Requirements:
Education:
Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related field. SPM/STPM holders with strong experience may also be considered.
Experience:
Typically 13 years in logistics, warehousing, customer service, or freight forwarding. Experience in a 3PL environment is an added advantage.
Skills:
Proficient in Microsoft Office, especially Excel and Outlook.
Familiarity with Warehouse Management Systems (WMS) or ERP software is beneficial.
Basic understanding of logistics workflows or inventory processes.
Excellent coordination, time management, and problem-solving skills.
Ability to handle multiple tasks and work under pressure.
