Job Description

JOB SUMMARY

The assistant to the Head of Unit and technical executive who shares company's responsibility to deliver to the best quality of products and services within the designated subject areas, ensuring that each staff receives positive encouragement to develop their potential to the full according to overall stated corporate strategy, policies, and objectives of the company.

KEY DUTIES AND RESPONSIBILITIES

Trust of Tap 2028 Masterplan Management

To assist HOU to plan and manage and achieve the target of department blueprint - Trust Our Tap Strategy (TOT 2020-2028) including appropriate coordination and communication with other Units, Sections Departments and Regions

Resource Management

To assist HOU in preparing and executing manpower plan and schedules, allocating and assigning appropriate personnel to tasks as well as to do performance management for successful delivery of water sampling station related works.

OPEX & CAPEX Budget Management

To assist HOU to utilize OPEX/CAPEX Budget and of 30 Years Business Plan inclusive of preparation paperwork for annual budget, obtain approval from The Management and control of utilization of approved budget as planned.

Contract Administration and Project Management

To assist HOU to administrate and manage designated contracts and projects by ensuring all contracts are performed as stipulated in the contracts, projects are appropriately implemented within the stipulated budget, specifications, and period.

SPA Condition Assessment

To assist HOU to plan and structure SPA condition assessment, to liaise and coordinate inspection by contractor including reviewing findings report and recommendations of remediation works to maintain the SPA in good and working condition.

SPA Housekeeping

To assist HOU to plan and structure the SPA housekeeping work scope and requirements, perform necessary tasks in tendering the works and to monitor contract and site work progress including preparation of paperwork, reports, correspondence and claims verification, to liaise and communicate with contractor, regions and MOH and in-house sampling teams etc to ensure smooth progress of the contract.

Rehabilitation of Existing SPA

To plan & structure the work including finalization of SPA list and other information required as well as to perform necessary tasks in tendering the works and to monitor contract and site work progress including preparation of paperwork, reports, correspondences, to liaise and communicate with contractor, regions and MOH and in-house sampling teams and claims verification etc to ensure smooth progress of the contract.

SPA Condition Complaints Management

To liaise and coordinate SPA condition complaints received with MOH & In-house sampling teams, review Borang Pembaikan SPA submitted, to determine required repair works (minor or major), to prepare necessary paperwork for repair work approval, to coordinate with Regions Water Quality Sub-Unit to ensure proper & timely resolution. To provide remedial work status feedback to MOH and in-house sampling teams.

New Water Sampling Stations (SPA) Construction

To assist in planning & monitoring of new Sampling Stations (SPA) construction at distribution networks including to liaise and communicate with contractor, regions and MOH and in-house sampling teams, preparation of paperwork, reports, correspondence and claims verification etc to ensure smooth progress of the contract.

Water Sampling Stations (SPA) Master List & Schematic Drawing

To maintain & update the document accordingly upon changes of status, water & reservoir sources, category & location of the SPA including to coordinate update by Regions as well as to submit these documents to MOH twice yearly and to respond any SPA related inquiries from MOH.

Water Quality Sampling Stations (SPA) Design

To assist HOU to develop design strategies, review all engineering drawing and design of sampling station to improve efficiency as well as to coordinate all design review activities with stakeholders to meet and improve sampling experience.

Regional Crisis Coordination

To assist in planning, support and coordination of big scale water quality crisis or issues investigation and remediation with Region including SOP compliance and preparation of status report.

Internal/ External Reporting/ Correspondence

To lead and assist the superior with the preparation of reports/ paperwork and correspondences including providing accurate data, information, schematic diagrams, pictures, reference, estimation, status, etc. on SPA and water quality matters for submission internally between sections, departments, and regions; and externally with related Authorities/Agencies/Consultants/Vendors i.e. SPAN, MOH, DOE

Communication and Representation

To represent HOU, HOS, HOD, Department or Company to related and relevant meetings and encourage appropriate links across the sections, departments, between departments and with other agencies and contributing to enrichment as appropriate within the section, department or company, include liaison with the appropriate colleagues.

Performance Management

To assist HOU to supervise, monitor and control performance of water quality complaints management based on Key Performance Indicator (KPI) at Department, Section, Unit and Regions level that appropriately support all company's Vision, Mission, Target and Initiatives.

Assistance to Head of Unit

To assist the HOU on daily activities and other related matters as instructed from time to time or when deemed required so or other duties as needed or required.

Minimum Qualifications

  • Bachelor Degree in Engineering (Civil or related field preferred) or equivalent with related experience
  • While not a prerequisite, experience in relevant industry and project management is highly valued/an advantage.
  • Fresh graduates with a strong academic background and relevant internship experience are also encouraged to apply.
