Job Description

Position Summary

The ASRS (Automated Storage and Retrieval System) Executive's primary responsibilities are:

a) Achieving high levels of customer satisfaction through excellence in receiving, identifying, dispatching, and ensuring that goods delivered from the ASRS are in proper shipping condition.

b) Supporting ASRS shift operations in day-to-day activities to ensure improvements in finished goods warehouse operations.

i) This includes managing the ASRS, the Warehouse Control System (WCS), the Warehouse Management System (WMS), and their interfaces.

ii) Providing support to all operational functions by assisting warehouse workers with daily tasks and assignments, training, and work schedules.

You will play an important role to:

1) Provide support to all operational functions by assisting warehouse workers related to daily tasks and assignments, training, and work schedules.

  • Serve as primary support for the ASRS system (WCS & WMS) for all end users issues/questions.
  • Ensure team members are trained & familiar with the ASRS Process & Procedures.
  • Responsible for ensuring team members follow all procedures and processes in handling physical inventory movements and system movements within the ASRS warehouse.
  • Ensure policies and procedures are maintained in relation to the ASRS operations.
  • Proactive in investigating & understanding technical challenges in ASRS operations by gathering technical data to study trends & outline potential root cause(s).
  • Initiate brainstorming sessions to streamline current and new processes and to submit process improvements consistently.
  • Reviews operations and confers with technical or administrative staff to resolve system issues.
  • Responsible for all incoming, picked, and outbound stocks to ensure they are of the right product, quality, and quantity, and meet the requirements for storage in the ASRS system.
  • Support troubleshooting of stock with system-physical discrepancies.
  • Collaborate with relevant departments/parties for any discrepancy/issue in terms of the quality/quantity of stocks delivered to the warehouse.
  • Maintain and update ASRS-related databases accurately & on time to ensure ASRS machines operate smoothly.
  • Respond to stakeholders requests on time to ensure stocks can be released timely.
  • Develop work instructions to standardize & improve troubleshooting efficiency of common operational issues.

2) Manage and coordinate all safety-related matters within the ASRS warehouse areas.

  • Implement safe working standards, operating guide according to ESH standards.
  • Enforces health, safety, and environmental regulations.
  • Ensure that the workplace conforms to organizational safety standards.
  • Identify timely solutions to address any safety-related gaps in the workplace.

3) Warehouse inventory management.

  • Support the Assistant Logistics Manager to identify, analyze, and implement a proper inventory management practice to ensure ASRS is running smoothly and more efficiently.
  • Plan & co-ordinate stock checks & cycle counts. To arrange and coordinate for delivery cut-off, timely closure of all open documents in the system, headcount allocation, and briefing to the team members on stock count methodology and processes.

4) Key contact person with ASRS stakeholders.

  • Support the Assistant Logistics Manager in coordinating with ASRS supplier for process improvements, system improvements, support, troubleshooting, repairs, maintenance and system/process modification.
  • Key contact person representing VINDA with Suppliers (including China mechanical & system providers).
  • Key contact person liaising with the VINDA China team.

5) Support the Assistant Logistics Manager for necessary preparation for internal/external audit (ISO, FSC, Safety, etc.).

  • Submission of requested documents to internal/external auditors based on audit requirements.
  • To understand audit requirements and to ensure that they are in line with warehouse management activities.
  • Ensure the implementation, monitoring, and evaluation of new initiatives and procedures related to logistics.

6) Assist with daily goals and plans to prioritize, organize, and meet internal and external customer requirements.

7) Assist in identifying the necessary operational and/or procedural changes to the day-to-day operations to improve the overall effectiveness of ASRS operations.

8) Provide technical and operational support to the ASRS team, as well as advice on the application of ASRS management best practices, systems, and procedures. Take initiative in management improvement for the ASRS function.

9) Prepare daily, weekly & monthly reports as required. Provides accurate reports on project status as well as inventory balance reports for reference and action of the respective departments.

10) Perform administration and office support activities.

11) Other duties as assigned.

To be successful in this role, you will need to have:

  • Degree in Logistics Management or related field.
  • At least years of working exposure in a similar role or logistics field.
  • Experience working in an ASRS warehouse or facility will be an added advantage.
  • Well-versed with inventory management concepts or thinking.
  • Working knowledge of any integrated systems (ERP/WCS/WMS).
