Role Overview
The Bid Manager will coordinate end-to-end tender responses across all ViewQwest markets, working closely with Sales, Product, Engineering, and Operations teams to produce compelling, accurate, and timely proposals.
The role suits someone early-to-mid career who is highly organized, detail-oriented, and comfortable pulling together cross-functional inputs under deadline pressure. Prior experience in IT/telecommunications bid management is a strong advantage but not mandatory we are looking for aptitude, writing quality, and the ability to drive a structured process.
Key Responsibilities
- Own the end-to-end bid and tender process: from opportunity qualification and bid/no-bid decisions through to final submission and post-bid follow-up.
- Coordinate cross-functional inputs from Sales, Product Management, Solutions Architecture, Engineering, Legal, and Finance to assemble complete proposals.
- Develop and maintain a library of reusable bid content, including company profiles, capability statements, case studies, standard responses, and compliance declarations.
- Write, edit, and quality-assure proposal documents to ensure clarity, accuracy, consistency, and professional presentation.
- Manage bid timelines, track deliverables, and ensure all submissions meet RFP/RFQ/RFI deadlines.
- Prepare pricing schedules and cost models in collaboration with Product Management and Finance, ensuring commercial accuracy and competitiveness.
- Maintain a bid tracker to record all opportunities, outcomes, win/loss ratios, and lessons learned.
- Support the development of standard proposal templates, processes, and governance frameworks for bid management.
- Ensure all proposals comply with customer requirements, tender conditions, and ViewQwest's commercial policies.
- Liaise with customers and procurement teams during the tender process for clarification queries and presentation scheduling.
Requirements
- Bachelor's degree in business, Communications, Engineering, IT, or a related field.
- 13 years of experience in bid management, proposal writing, pre-sales support, or a similar coordination-heavy role.
- Strong written English with the ability to produce clear, structured, and persuasive documents.
- Excellent organizational skills and the ability to manage multiple concurrent bids with competing deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with collaboration tools such as Jira, Confluence, or SharePoint is a plus.
- Comfortable working in a cross-functional, multi-country environment with stakeholders across different time zones.
- Self-starter with strong attention to detail and a process-improvement mindset.
Nice to Have
- Prior experience in the IT, telecommunications, or managed services industry.
- Familiarity with government or enterprise procurement processes in Southeast Asia.
- Exposure to CRM platforms (e.g. Salesforce, HubSpot) and document management systems.
- APMP Foundation certification or equivalent bid/proposal management training.
