Join Maxis as a Bid Operations Intern and gain hands-on experience in bid management, tender operations, and cross-functional project coordination within the telecommunications industry. In this role, you will support the Bid Operations team in coordinating bid activities, maintaining documentation quality, and ensuring smooth collaboration across multiple stakeholders throughout the bid lifecycle.

Key Responsibilities

  • Bid Meeting Coordination: Assist in scheduling bid meetings, coordinating stakeholders, managing meeting logistics, and ensuring timely communication throughout the bid process.
  • Meeting Documentation: Prepare clear and accurate minutes for key bid meetings, capturing action items, decisions, responsibilities, and follow-up tasks to support effective project tracking.
  • Bid Data Collection: Support the collection, consolidation, and organization of information required for bids and tenders by working closely with internal teams and maintaining accurate bid records.
  • Documentation Quality Control: Assist in reviewing bid documents to ensure consistency, completeness, formatting accuracy, and compliance with submission requirements before finalization.
  • Questionnaire & Proposal Support: Assist in preparing responses to customer questionnaires, Request for Proposal (RFP) requirements, and other tender documentation by gathering relevant information from subject matter experts.

Preferred Skills/Qualifications

  • Education: Currently pursuing or holding a Bachelor's degree in Business Administration, Project Management, Marketing, Communications, Engineering, or other related disciplines.
  • Communication Skills: Strong written and verbal communication skills with the ability to prepare meeting minutes, coordinate with stakeholders, and present information clearly.
  • Organisation & Attention to Detail: Highly organised with excellent attention to detail and the ability to manage multiple tasks while maintaining documentation accuracy.
  • Problem-Solving & Adaptability: Demonstrates adaptability, open-mindedness, and strong problem-solving skills when working in a dynamic, fast-paced environment.
  • Professional Attributes: Punctual, proactive, curious, and enthusiastic about learning new processes and contributing to team success.
  • Collaboration Skills: Comfortable working with cross-functional teams and building positive working relationships across different business units.

Value-Added Project Opportunity

As part of your internship, you will have the opportunity to contribute to live bid and tender submissions, each of which serves as a valuable learning project. You may also gain exposure to strategic, high-value opportunities that require presentation to the Internal Corporate Deal Management (ICDM) committee, including executive-level reviews involving the CEO. This provides valuable insight into complex commercial decision-making, bid strategy, and large-scale business opportunities.
