We're looking for a sharp, organized, and trustworthy Business Operations Executive to be the engine room of our company. This is not a narrow admin role — you'll sit at the intersection of finance, HR, compliance, and client operations, working directly with the Operations Manager and Managing Director. What You'll Do

Finance, Accounting, Billings & Revenue

  • Support the full invoicing lifecycle: issuing RTIs, preparing invoices, tracking approvals, and liaising with consultants and clients
  • Maintain the Billings Tracker and coordinate weekly exports to the finance system
  • Handle credit notes, revisions, and inter-office billing across MPG entities
  • Chase accounts receivable and keep payment records up to date
  • Coordinate accounts payable, petty cash, and office expense approvals
  • Manage recurring vendor payments (parking, subscriptions, services)
  • Review and approve employee claims for accuracy and compliance
  • Support banking administration, e-invoicing setup, and liaison with company secretary/accounting partners

HR & Team Support, Compliance & Contracts

  • Run onboarding and offboarding experience — access cards to welcome kits to system setup
  • Coordinate with HR/Finance partners on new joiners, leavers, and leave records
  • Prepare and maintain the company handbook and ownership guidelines
  • Manage Terms of Business (TOB) documentation, tracking, and client entity records
  • Handle recruitment licensing renewals and statutory submissions
  • Maintain contracts and compliance documentation with relevant authorities

Vendor & Office Management, Reporting & Marketing Support

  • Source and manage vendors for office needs, events, and client-facing materials
  • Coordinate bookings for travel, client meetings, and events
  • Flag cross-border vendor arrangements for tax considerations
  • Prepare regular reports (billings, new business, pipeline reconciliation) for leadership
  • Support town halls, quarterly reviews, and internal communications
  • Assist with job ad creation and social media postings

What We're Looking For

  • 2+ years of experience in operations, finance admin, office management, or a similar multi-disciplinary support role. Fresh Graduates seeking internships are open to apply.
  • Meticulous attention to detail — especially with numbers, documents, and deadlines
  • Comfortable juggling priorities across finance, HR, and admin without dropping the ball
  • Strong communicator who can confidently liaise with leadership, clients, and external vendors
  • Proficiency with Excel, PowerPoint and general office tools
  • Discretion and integrity — you'll be trusted with financial and confidential information
