PositiveLinks Asia is a recruitment firm helping growth-stage companies across Malaysia and the Philippines hire right, the first time. We are looking for a Business Operations Lead to be the second brain of the Managing Director.
Role Purpose
- Acts as the second brain of the Managing Director
- Takes full ownership of operational execution so MD stays focused on growth and strategy
- Expected to actively build, challenge, and improve the company's operating system
- Spans three domains: Business Operations & Continuous Improvement (70%), HR & Finance Administration (20%), Executive & General Administration (10%)
What you'll own
- Design and improve how the business operates — workflows, SOPs, playbooks
- Build and maintain KPI dashboards and performance reports for the MD
- Identify where time, effort, or revenue is being lost — and fix it
- Lead AI and automation projects that make the team faster and smarter
- Run our internal hiring pipeline end-to-end
- Manage HR systems (QuickHR), finance admin, and payroll backup
- Keep the MD's calendar, meeting briefs, and stakeholder comms running smoothly

- Came from recruitment consulting and want to use those instincts - sourcing, client management, hitting targets - to build the machine instead of running the desk.
- Think in systems — you naturally ask why before how
- Are comfortable building things from scratch, not just maintaining them
- Know your way around Excel, MS365, and aren't afraid of AI tools
- Able to work independently
Key Requirements
- 3-5 years in recruitment consulting or related ops/business support experience
- Comfortable tracking KPIs, dashboards, or operational metrics to support decision-making
- Exposure to HRIS administration (QuickHR a plus) and basic finance admin — AR/AP, invoices, claims is an added advantage
- Experience sourcing and screening candidates (LinkedIn Recruiter, Jobstreet, Indeed, or similar)
- Used to juggling multiple stakeholders and handling confidential information
