We are looking for a proactive and organized Business Support Executive to support our HR, Administration, Technical, and Corporate Operations teams. This role is ideal for someone who enjoys coordinating people, processes, documentation, office operations, and IT asset administration in a fast-paced technology environment.

Role Summary

The Business Support Executive is responsible for providing day-to-day administrative support across Human Resources, Corporate Administration, Technical Operations, and Back Office functions.

The role ensures smooth office operations, coordinates internship administration, manages company assets, supports employee onboarding and offboarding, maintains documentation and records, and assists in various operational activities to support business growth.

Key Responsibilities:

1. HR & Internship Administration

•Coordinate internship recruitment and onboarding activities.

•Prepare internship documentation including Letters of Offer, NDAs, onboarding forms and related documents.

•Coordinate intern orientation and induction with HR and Technical teams.

•Maintain internship records, attendance and evaluation documentation.

•Support employee onboarding and offboarding administration.

•Assist in maintaining employee records and HR documentation.

•Coordinate employee confirmation, contract renewal and document filing.

•Support HR initiatives, employee engagement activities and training administration.

2. Office Administration:

•Manage day-to-day office administrative operations.

•Coordinate office supplies and maintain inventory of general office consumables.

•Liaise with building management, service providers and external vendors for office-related matters.

•Coordinate courier services, deliveries and incoming/outgoing correspondence.

•Ensure office facilities are well maintained, safe, clean and organized.

•Coordinate meeting room bookings, visitor registration and company events.

•Maintain office administrative records and filing systems.

3. IT Asset & Inventory Administration:

•Maintain accurate inventory records for laptops, monitors, mobile devices, peripherals and other company IT assets.

•Coordinate issuance, collection and tracking of company assets during employee onboarding, transfers and offboarding.

•Maintain asset registers, asset movement records and warranty information.

•Conduct periodic asset verification and inventory audits.

•Ensure all company assets are properly tagged, recorded and safeguarded.

•Coordinate with the Technical team on asset preparation and deployment.

•Maintain software license and equipment assignment records where applicable.

4. Technical & Operations Administrative Support:

•Provide administrative support to Technical, Professional Services and Operations teams.

•Assist in preparing project-related documentation and internal administrative records.

•Coordinate training schedules and maintain certification and training records.

•Support documentation control, filing and version management.

•Coordinate logistics for technical equipment deliveries and internal deployment where required.

•Assist in maintaining operational documentation and standard operating procedures.

5. Performance Management & HR Operations Support:

•Coordinate the annual and probation performance appraisal process.

•Prepare appraisal schedules, reminders and follow up with employees and managers to ensure timely completion.

•Maintain performance appraisal records and supporting documentation.

•Support HR in compiling appraisal results, confirmation recommendations and related reports.

•Assist in maintaining organization charts, employee information and HR dashboards.

•Support HR operational reporting and other HR administrative initiatives as assigned.

6. Documentation, Compliance & Continuous Improvement:

•Maintain accurate administrative, HR and operational records.

Organize company documentation and filing systems in both physical and electronic formats.

•Ensure confidential handling of employee and company information.

•Support ISO, internal audits and compliance documentation where required.

•Ensure proper document retention, version control and record management.

•Recommend improvements to administrative and HR processes.

•Assist in developing and maintaining Standard Operating Procedures (SOPs).

•Support digitalization and continuous improvement initiatives to enhance operational efficiency.

Qualifications & Experience

•Diploma or Bachelor's Degree in Business Administration, Human Resources, Office Management, Information Technology or a related discipline.

•Minimum 2–3 years of relevant working experience in HR, Administration, Corporate Services or Office Administration.

•Experience supporting employee onboarding, office administration and IT asset management is preferred.

•Experience working in an IT, technology or professional services environment will be an advantage.

Skills & Competencies

•Good knowledge of HR and office administrative processes.

•Basic understanding of IT equipment, asset inventory and lifecycle management.

•Proficient in Microsoft 365 applications (Word, Excel, Outlook, PowerPoint and Teams).

•Strong organizational, coordination and follow-up skills.

•Able to manage multiple tasks and prioritize effectively in a fast-paced environment.

•Good verbal and written communication skills in English.

•High level of accuracy, attention to detail and confidentiality.

•Positive attitude, proactive mindset and willingness to support cross-functional teams.

•Able to work independently as well as collaboratively with different departments.

Demonstrates readiness to support critical operations outside of core business hours.
